Job Description: The Service and Rental Coordinator will act as a principal contact between the Service Department and the Customer. They will work in conjunction with the Service Manager in answering calls, dispatching technicians and scheduling transportation for both outgoing and incoming deliveries.   They will provide Unprecedented Customer Service of the Highest Quality and Personal Integrity.



Responsibilities:


  • Reports to Service Manager and maintains a close working relationship with Accounting Department, Parts Department Staff, Customer Service Sales Staff, Shop and Road Technicians and other Office Personnel as well as all rental and service customers  
  • Scheduling transportation of all outgoing and incoming rental equipment, service  jobs and sales department deliveries and pickups, including driver’s daily deliver schedule
  • Follows all ToyotaLift policies regarding customer accounts, i.e. Credit limits, COD customers etc.
  • Assists in answering incoming calls and dispatching of service technicians, utilizing Minitrac Business System and GPS/UTS software and scheduling of repair jobs in the field
  • Follows up on service-related jobs as required with customers and technicians
  • Review and process technician write-ups daily, ensures all work orders requiring CSS attention are forwarded in a timely manner to the proper personnel
  • Submits all completed paperwork to parts department for final review and billing
  • Responsible for beginning of month PM scheduling through Minitrac, follow up and managing PM completion rates
  • Interface with Toyota Warranty Department and ToyotaLift Warranty Administrator to ensure warranty claims are submitted properly and with supporting documentation
  • Follow up with customers on shop and road jobs to make sure they are satisfied with repairs















Education/ Required Skills: 


  • High School Diploma / GED 
  • Basic Computer Skills  
  • Ability to Lead and Direct People / Ability to multitask
  • Knowledge of Industrial Equipment a plus
  • Ability Comprehend Technical Specifications 
  •  
  • Ability to Maintain Proper Phone Etiquette
