We are currently recruiting for a Legal Project Coordinator for the Milwaukee office to be responsible for daily organizational and project tasks assigned by the practice group and/or Senior Manager, Legal Project Management with the goal of providing exceptional client service both internally and externally. Given the nature of the role, it is critical that the candidate have a minimum of three years in a law firm setting and preferably experience within an Intellectual Property practice.

Responsibilities:

  • Support specific client-facing projects and ongoing client expectations.
  • Prepare necessary presentation materials for meetings.
  • Organize, attend and participate in internal and external client meetings.
  • Document and follow-up on important actions and decisions from meetings.
  • Prepare client team and client status reports and provide timely updates to client team partners on potential issues identified.
  • Liaise with the client, the Firm's client matter team, and Firm departments to meet or exceed client goals.
  • Understand the substantive nature of the practice groups supported including type of cases, key stakeholders, preferences, priorities, financial implications and more.
  • Support the implementation of project management tools and efficiency improvements.
  • Ensure projects deadlines are met.
  • Provide administrative support as needed, including reviewing emails and other correspondence to monitor client needs and expectations.
  • Assist in the billing and collections process, including:
  1. Work with billing specialists to ensure timely compliance with client's financial requirements and timely submission of invoices.
  2. Monitor accounts receivable, work-in-process, costs unapplied credits, budgets and other key metrics on client matters.
  3. Review pre-bills for client matters.
  4. Cross-reference with other departments to ensure proper fees and costs are being applied.
  5. Ensure correct billing and procedure codes on client bills.
  • Work with other departments and/or outside vendors to coordinate the copying and loading of data into various databases.
  • Other duties as assigned.

Qualifications:

  • Minimum of three years in the legal industry.
  • Bachelor degree in business or related field preferred.
  • Strong writing and verbal communication skills.
  • Quick-study of applications used specifically in practicing law.
  • Knowledge of document management systems and client extranets preferred.
  • Advanced knowledge of Microsoft Office, including Excel, and financial systems and reports.
  • Ability to multi-task and work well under pressure.
  • Close attention to detail and commitment to performing quality work.
  • Excellent organizational and time management skills.
  • Ability to quickly adjust priorities.
