This position coordinates office operations and supports the training department with the management of day-to-day operations through tracking, scheduling, data entry, administrative support, content review, coordination across all training and compliance activities. Work involves filing, ordering of supplies and equipment, records maintenance, and other administrative services. Position reports to the Senior Manager of Training. 

In this role, you will:

  • Perform clerical duties such as data entry, tracking training, filing, photocopying and faxing, as well as assist with training coordination as needed
  • Prepare administrative documentation
  • Assists in the preparation and creation of training related documents, materials, and presentations.
  • Handle day to day tracking, preparation and research of guard card and First Aid/CPR/AED compliance
  • Review and edits training content for consistency and design
  • Work with and assists outside training vendors as necessary
  • Liaise with state guard card regulatory agencies as necessary
  • Assist training coordinators with scheduling, tracking, data entry of all training courses
  • Prepare reports as required by training, management and executive staff
  • Serve as point of contact for information concerning the activities of the training department and who is capable of responding to all inquiries within established guidelines
  • Train staff in the use of software systems
  • Supervise the management, retrieval and destruction of training records within established guidelines
  • Supervise and/or perform special projects as required
  • Have the opportunity to assist in the delivery of training content

The ideal candidate will: 

  • Have some college (preferred); High School diploma or GED required
  • Have a minimum of 3 years experience in general office setting and clerical work or related area; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this position
  • Be computer literate and able to work at an intermediate or advanced level of MS PowerPoint, Excel, and Word.
  • Have Graphic Design capability (highly desired)
  • Have demonstrated ability to identify problems within an office and to develop feasible solutions
  • Have familiarity with Salesforce desired but not required
  • Have familiarity with cloud based data management in platforms such as Google Drive and SharePoint desired but not required
  • Have public speaking skills (preferred)
