Duration: 11- 12 months


Description:

Performs diverse and confidential administrative support functions including composing and releasing routine but somewhat complex correspondence. Usually relieves management of administrative details; gathers, compiles and reports information relevant to/for department; may manage a number of different and often conflicting objectives, projects or activities at one time. Communicates with executives and line management to gather or convey relevant information. May be exposed to sensitive information, and must use considerable tact, diplomacy and judgment. Advanced administrative and analytical skills. Thorough knowledge of a variety of software programs.


Responsibilities:

- Performs diverse, advanced and confidential administrative support functions for a large-scale global technology organization

- May be exposed to sensitive information, and must use considerable tact, diplomacy and judgment

- Supports executives and provides indirect support for the executive’s staff

- Manages executive calendar and performs diverse, advanced and confidential administrative support functions including, robust scheduling for high-level executive meetings; includes creation of agendas and light material preparation

- Cultivates relationships with executives and their assistants, and collaborates to get things done

- Handles a high volume of calls, emails and requests; interacts with high level business leaders in a professional and effective manner

- Owner of the organizational floor plan involving oversight of employee space requests

- Coordinates internal/external meetings, conference calls, and departments events such as Global Calls and off-sites

- Maintains detailed calendars and prioritizes meeting requests and related logistics

- Coordinates travel arrangements and processes expense reports in a timely manner according to policy

- Handles ad-hoc administrative requests for department head and the management team


Requirements:

- Proficiency in calendar management for multiple leaders

- Superior proficiency with Microsoft Office (Outlook, PowerPoint, Word, Excel)

- Significant time management, multi-tasking and prioritization skills in a fast-paced environment

- Highly organized with strong attention to detail

- Ability to work effectively under pressure, time constraints, and shifting priorities

- Strong written and verbal communication skills

- Calm, effective style -- able to solve problems and diffuse issues; contributes to an enjoyable and professional work environment

- Experience processing travel and expenses

- Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint)

- Exemplary demonstrated work ethic with a desire to learn the business

- Ability to learn quickly and take on new responsibilities

- Strong interpersonal skills; comfortable working with people at all organizational levels and able to adapt to diverse perspectives and styles

Communication skills are key:

- Candidate needs to be able to articulate thoughts and ideas at a high level and in a clear, crisp, eloquent way (the majority of the candidates thus far have been too rough around the edges)

- Strong writing abilities are required

- Proactive mindset and attitude

- Need to able to keep up in a fast paced environment (there is a consistent flow of deliverables and they all need to get done on time)

- Moldable

- Looking for around 3 years’ experience so that the candidate can adjust and conform to the demands of a large company

- Quick learner

- Candidate needs be eager to learn and be agile/adaptive
