Job Requirements

THE QUALIFIED CANDIDATE WILL HAVE EXPERIENCE IN THE FOLLOWING AREAS:  


  • One year of release of information experience within a medical facility required
  • One year Customer Service experience required
  • One year prior healthcare experience in medical records processing operation preferred

MINIMUM EDUCATION REQUIRED/PREFERRED


  • High School diploma or equivalent required
  • Graduate of an approved Registered Health Information Technician (RHIT) program-American Health Information Management Association (AHIMA) credentialed or eligible, preferred

KNOWLEDGE, SKILLS, AND COMPETENCIES:


  • Computer/keyboarding skills and working knowledge of office equipment operations
  • Ability to accurately relay information and communicate, both verbally and in writing, in a tactful and courteous manner with peers, management, internal/external staff
  • Ability to multi-task and work well in high-stress situations
  • Capable of working independently and as part of a team
  • Proficient with computers; specifically, proficient with Microsoft Office products (Word, Excel, Outlook)
  • Ability to elicit and practice cooperation and demonstrate positive morale , organized, detail-oriented, able to handle multiple projects simultaneously
  • Prior medical terminology knowledge/education preferred
  • General knowledge of HIPAA (Health Insurance Portability & Accountability Act) and other federal/state regulations regarding appropriate release of patient health information preferred
  • Prior exposure to electronic medical record and/or document imaging systems and other healthcare computer applications preferred
  • Prior medical terminology knowledge education preferred
  • General knowledge of HIPAA and other Federal/State  regulations regarding appropriate release of patient health information

POSITION SUMMARY:


Under the direction of the HIM Operations Supervisor, the HIM Technician will work in a centralized release of information operation at Shriners Hospitals for Children (SHC) headquarters that will support the confidential printing and release of requested medical record information. The HIM Technician will release patient health information appropriately to requestors according to SHC policy and procedure, State, Federal and HIPAA (Health Insurance Portability and Accountability Act) regulatory guidelines. This position monitors and combines Duplicate Patient and Persons, authenticates new primary care and referring providers in HNA, and facilitates accurate and timely Remote Report Distribution to primary care providers.


This position also involves extensive customer service skills due to continuous interactions with and providing service to revenue cycle staff, HIM staff at SHC facilities and other 3rd party requestors.


This is a Part-Time position.


POSITION RESPONSIBILITIES:

  • Ensures appropriate release of information procedures are followed as required by SHC policies, and state/federal confidentiality regulations, including HIPAA and HITECH. Ensures authorizations for release of heath information are HIPAA compliant and releases patient information in accordance with minimum necessary guidelines. Verifies and identifies authorization of requestors of information prior to the release of information as well as uses appropriate methods to identify the correct patient, dates of service requested, and the exact contents of the medical record to be released (15%)
  • Performs quality checks on records before printing/copying, faxing and/or uploading the medical record, prior to release of health information. Ensures accurate patient, requestor and requestor address or secure fax transmission prior to sending. Verifies every page of documentation prior to sending. Contacts the HIM Manager to have any wrong patient information corrected/ removed from the chart prior to completing the request (10%)
  • Performs HNA Provider verification process to maintain an accurate MPI and Provider database, including active HNA search, combing of duplicate providers (10%)
  • Supports Remote Report Distribution by provider office follow-up to obtain fax numbers for new providers and mailing of documents when necessary. Builds fax stations, cross-references providers and re-submits distributions for faxing as appropriate (10%)
  • Provides information within 3-5 business days of receiving requests for information to authorized requestors. Monitor HDQ-ROI emails, date stamp and processes requests on a daily basis. Utilizes the Cerner Request Management system to log, monitor, track and fulfill requests for release of medical information ensuring all data fields are captured. Prepares invoices for records processed, when applicable. (10%)
  • Maintains a satisfactory attendance record to ensure the essential duties of this position are handled in an efficient and timely manner. (5%)
  • Scans and/or imports requests accurately and timely for accessibility in the SHCIS system. Monitors Cerbatch and addresses scan issues. (5%)
  • Performs other duties as assigned by the HIM Operations Supervisor. (5%)
  • Maintains a log of activities and productivity and submits to the HIM Operations Supervisor on a daily basis. Meets established productivity standards. (5%)
  • Execute system electronic MPI reports for all facilities to identify duplicate patients/persons. Validate unique identity and the appropriate medical record number or person identification assignment. Perform necessary combinations in order to manage MPI information. Contacts other SHC HIM Directors when necessary to determine and facilitate potential patient/parent duplicate that cross over multiple SHC facilities. Maintain a monitoring tool for error origination to identify areas for process improvement (5%)
  • Monitors RRD modems, distributions, and fax transmissions using Cerner RRD tools. Performs routine trouble-shooting to address system issues (5%)
  • Monitors and addresses HNA and RRD Service Now tickets assigned to HIM Team (5%)
  • Review HIM Electronic Lockbox daily for all checks and HIM Correspondence. Routes checks for billable requests for processing. Routes other correspondence as appropriate. (5%)
  • Imports Telehealth, Conditions of Care and other required and documentation into the EMR in an accurate and timely manner (5%)
