Job Requirements


    • Facilitates timely responses with Walk in employees inquiries and/or escalates to HR Shared Services/ESS or other HR experts, as needed;
    • Assist with coordinating new hire orientation ensuring all documents are prepared and room and equipment is appropriately set up.
    • Facilitates onboarding process with identified applicants including fingerprinting, review pre-employment forms, background screening and review of basic benefits information. Follow-up with new hire regarding outstanding documents.
    • Enters all new pre-employment applicants/employees information into Human Resources/PeopleSoft System;
    • Contacts new hires/appointments for start date/orientation;
    • Enters employee license, certificate, BLS card and New Employee Orientation completion date into PeopleSoft HRIS. Partners with OHS to ensure annual health assessment records are properly maintained in PeopleSoft.
    • Enrolls employees into ELM online training courses upon the request. Uploads the certificates of training completion into ELM database.
    • Coordinates the online performance evaluation process in PeopleSoft HRIS for Seaview and McKinney facilities.
    • Creates, transfers to a new supervisor and re-opens performance document upon the request.
    • Maintains non-employees (temporary, affiliates and agency personnel) database up to date. Enters new hires, transfers and terminates non-employee in PeopleSoft HRIS.
    • Sets up the personnel records for newly hired and temporary employees. Keeps the inventory of files up to date.
    • Executes various confidential administrative tasks by processing, recording, sorting and filling HR documents;
    • Ensures file system is accurate, up to date, well organized, and accessible; includes filing documents, creating and transferring files. Ensure documents and files are organized, accurate and appropriate for filing; rectifies as directed.
    • Responsible for access control of records rooms and is gatekeeper to all records
    • Follows all System policies and procedures on personnel record keeping
    • Retrieve documents or information, and provides clerical support to supervisor, department staff, or others as assigned.
    • Executes various administrative tasks by, ordering supplies, performing data entry and processing, recording, sorting and filling HR documents.
    • Maintains the data updates in HR Master File of inactive employees. Processing inactive records to City storage and data retrieval.
    • Responsible for transmitting the personnel records of transferred employees to the appropriate business units.
    • Keeps the inventory registry of transfer documents.
    • Participates in HR audits
    • Performs other generalist HR administrative tasks and duties as assigned

This position will be assigned to a primary PAC facility; however, the incumbent must be able to travel to different locations throughout the five-boroughs of NYC on an as needed basis.

Minimum Qualifications:

      • A Baccalaureate Degree in a relevant field from an accredited college or university; or,
      • Graduation from a senior high school and four years of satisfactory semi-professional or technical experience in personnel operations; or,
      • A satisfactory equivalent combination of college, education, training and experience.
      • Departmental Preferences:*
      • Experience working in a similar role in a Human Resources Department, preferably in a hospital or post-acute/long term care environment
      • Excellent communication skills and ability to work in a collaborative, team oriented environment.
      • High proficiency in MS Office Suite (Outlook, Word, Excel and PowerPoint)
      • Knowledge of HRIS systems, PeopleSoft or similar.
      • PHR or SHRM - CP Certification
