Job Description

The Administrative Assistant position will provide high level executive support to the  Operations team by performing the following duties:
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• Create and maintain complex and/or highly confidential materials including Executive Committee materials, PowerPoint presentations, department financial data, analyses, monthly/quarterly performance reports, contacts, etc.
• Manage executive communication, including answering phones and relaying messages, professionally greeting visitors, managing incoming and outgoing mail, expense reporting, etc.
• Maintain executives' appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel.
• Conserve executives' time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications, as appropriate.
• Prioritize requests using knowledge of the business to meet deadlines, customer needs, etc.
• Manage projects including Operations conference, off-site meetings, quarterly business reviews with vendors, etc.
• Arrange travel, accommodations, agenda and itinerary distribution. Reconcile charges and prepare expense reports for executives and authorize payment of invoices.
• May also train and supervise lower-level clerical or temporary staff.

Job Requirements

EDUCATION, EXPERIENCE & REQUIREMENTS:
• High school diploma or equivalent required, Bachelor degree preferred.
• 1 years of experience in general business or office management required. Work or support experience in a Finance based organization is preferred. Experience in a publically traded company is a plus.
• Ability to maintain customer confidence and protect operations by keeping information confidential.
• Superior proficiency in MS Office Suite, including Word, Excel, PowerPoint, Visio, and Outlook required.
• Must have solid working knowledge of office equipment, including copier, binder, fax, and scanner.
• Must be able to successfully pass all applicable background screening tests.
• Excellent computer typing skills with a minimum of 70+ wpm.
• Meticulous attention to detail.
• Able to work independently with little or no supervision.
• Able to effectively prioritize multiple tasks in a fast paced environment.
• Must be able to successfully pass all applicable background screening tests.
• Must have excellent communication skills, both written and oral.
