Job Description

US Tech Solutions is seeking a “Administrative Assistant III” for a 5 months contract position with a client in Watertown, MA.

Responsibilities:

Under the general direction of the company’s Health Plan Behavioral Health Leadership, the Administrative Assistant III performs day- to-day duties for the Department. 

The Administrative Assistant III must work well independently and possess strong organizational, time management, and problem solving skills. They must possess the ability to multitask in a fast paced environment.   Duties will include:

 

  • Calendaring/Schedule Meetings
  • Generate Reports/Letters
  • New Hire Processing Needs
  • Update Organizational Charts
  • Submit System Application Requests
  • Update and Maintain Records
  • Document notes and key deliverables for department meetings
  • Work with the leadership to track and ensure deliverables are met
  • Support power point, visio, process and other business document development at the direction of the leadership
  • Maintain ownership of documents, making updates as required, under the direction of leadership
  • Support the department’s work with providers, external and internal groups as needed

Other duties as assigned

Requirements:

EDUCATION: (Minimum educations & certifications required)

Certificate or Associates Degree in office administration required, BA preferred

EXPERIENCE:  (Years of experience)

Requires a minimum of three (3) years administrative experience and demands a strong working knowledge of MS Word, Excel, PowerPoint and Visio.  Basic knowledge of MS Lotus Notes is helpful.  Experience in coordinating (50+ person) department is highly desirable.

SKILL REQUIREMENTS: (Include interpersonal skills)

Must have the ability to work cooperatively with all levels of personnel and management.  Must be capable of working on many issues simultaneously and be extremely detail oriented.  Must have the ability to prioritize workflows within set protocols and procedures.  A minimum typing speed of 60 wpm is highly desirable.

Must be able to work cooperatively as a team member.  Requires excellent interpersonal and customer service skills to interact effectively with all levels of management, departmental staff, internal and external contacts.  Must be able to effectively communicate in verbal and written format.
WORKING CONDITIONS AND ADDITIONAL REQUIREMENTS (include special requirements, e.g., lifting, travel,

overtime)

Fast paced business/professional office environment handling multiple demands, working out of a cubicle and exercising appropriate judgment as necessary.  Must be able to shift priorities quickly and to handle change with equanimity. 

Digital and manual dexterity required.  Requires the ability to use a computer for extended periods of time and prolonged periods of sitting and ability to lift and carry moderately heavy boxes and reports as needed.

Demands at peak times may require additional hours.
