Job Function:


Service Coordinator’s role is to provide leadership and guidance in establishing growth and operations of the service organization.  Responsibilities include coordinating service calls, scheduling service technicians, reviewing warranty claims, administrate closure files, assisting and orientating customers, and occasionally deliver emergency orders to location.


The Service Coordinator's role includes the following tasks:

  • Managing external service providers
  • Assigning tasks to technicians throughout each work day that are based on, technician availability, and the technician’s skills.
  • Reviewing both tactical and longer-term metrics for their team and handling performance that is outside of the defined thresholds.
  • Oversee service/warranty claims from start to finish, making sure projects are on-time and maintaining high-quality
  • Demonstrates the ability to carry on a business conversation with customers
  • Prepares estimates and establishes/maintains estimate follow-up procedures
  • Communicates with customers on order status and changes in the production schedule
  • Sells and makes recommendations to prospects and clients using company’s products
  • Direct the forecasting and scheduling of daily workforce.
  • The ability to develop tasks and work assignments, clearly define objectives, and give technical direction with applied knowledge of alternatives and decision-making experience.
  • Resolve incoming client inquiries through verbal and written communication




·       Receive and organize structure of service and warranty calls

·       Maintain and creating bonds with customers and Brand Representatives so the highest level of impact to customer satisfaction is deliver and achieved through the most effective use of resources

·       Develop and maintain a high level of awareness of the needs of the customer through regular assessment and evaluation of what the customer is visualizing and requesting to be produced and serviced

·       Estimate and sell the service requested, by following estimating procedures, and evaluating (checking for warranty) the service being requested

·       Ensuring the appropriate methods, systems and parts are identified in the scope of work prior to entering the service into the database and/or dispatching for completion

·       Collaborating with Operations Project Manager, Warehouse Supervisor, and Production Coordinator to develop a schedule and agendas that meet the needs of the customer’s time line

·       orchestrate various service calls, warranties, and attend scheduling and job check meetings

·       Ensure that each customer is accommodated and billed timely and according to the estimated scope of work
