Hours:  Monday through Friday - 9:00 a.m. - 5:30 p.m. -- Under the general direction of the Chicago Office Administrator and according to established Firm policies and procedures, the Administrative Support Clerk is responsible for performing administrative and clerical duties of a routine nature in the practice area of Real Estate and Administrative Services.  Actively supports and focuses on client, attorney, and department needs and requirements. Maintains professionalism and strict confidentiality in all client and Firm matters.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but may not be limited to, the following.  Other duties may be requested and/or assigned.  Regular and predictable attendance is an essential function of the position.  Essential functions are primary job duties that an individual must be able to perform successfully with or without a reasonable accommodation.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Perform clerical tasks including data entry, filing, faxing, copying, scanning, and assisting with the preparation of closings and closing binders.

Performs intake and processing of work requests which may be submitted in person or via electronic inbox; monitors and maintains such electronic inbox. 

Prepares packages via e‑mail, messenger, and overnight courier including entering appropriate information into automated courier/package tracking systems. 

Establishes, organizes, maintains, and completes files and records as instructed.

Converts paper documents to PDF for e-mailing; renames PDF documents and bookmarks for CD burning. 

Provides phone and at‑desk coverage for department assistant absences.  Performs other duties and/or projects as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

High school diploma or equivalent (some College preferred) and three or more years related experience preferably in a law firm environment; or equivalent combination of education and experience.

Demonstrate intermediate to advanced proficiency in personal computer applications, which typically includes Microsoft Outlook, Word, Excel and PowerPoint.  This includes the ability to make edit and apply formatting in Word and Excel.  Data entry skills with 85% accuracy and keyboarding skills of 40 wpm or higher preferred.  Word and Excel skills with 85% accuracy highly desired.

Excellent organizational skills including recordkeeping, data collection, and system information.  Ability to compile and analyze data and furnish information in report format, written correspondence, e-mail, or verbally.

Excellent interpersonal, verbal, and written communication skills.  Ability to communicate with courtesy and diplomacy, efficiently follow written and verbal instructions, provide information, and maintain effective relationships with a diverse group of attorneys, clients, staff, and outside contacts.

Analytical skills requiring an aptitude for detail and accuracy in order to perform clerical duties as requested, process information, and perform essential duties.  Proactive with excellent troubleshooting, problem resolution, and follow-through skills. 

Service-minded and dependable team player who works collaboratively and cooperatively with others in a team-oriented environment, as well as capable of working well without supervision.  Ability to act independently and make routine decisions within scope of the position’s responsibilities.  Take the initiative to seek guidance or clarity when needed.

Possess excellent knowledge of reading, writing, grammar, spelling, punctuation, proofreading, and formatting in order to interpret source data, prepare transactional documents and forms, proofread material for grammatical, typographical, and spelling errors, and perform file maintenance.

Ability to perform non-complex mathematical calculations and apply mathematical concepts when performing and verifying arithmetic calculations.

Ability to operate standard office equipment including computer, laser printer, telephone, photocopier, calculator, scanner, facsimile, etc.

Ability to occasionally retrieve and distribute files, written documentation and copies, or office supplies weighing up to 20 pounds.

Work occasionally requires more than 37.5 hours per week to perform the essential duties of the position.  Flexibility to work overtime when needed.
