Responsible for providing broad based support to the Project Construction and Office Team. Provide support of all daily responsibilities, including all levels of procurement, logistics, troubleshooting assistance, and assist site personnel as needed with technical issues, ensuring that all operations provide a quality product to our customers. Assist management with clerical and administrative support, performing complex and confidential functions and document control. Support all aspects of estimating and procurement, logistics and services. A strong understanding of construction operations is required.


  • Responsible for the administrative day-to-day site operations (such as filing, ordering office supplies, binding, etc.).
  • Assure that personnel and accounting records and reports are maintained accurately and on schedule.
  • Processes time sheets and payroll.
  • Answers telephones, handle calls, route to appropriate individual or take messages. Ensure customers, vendors and employees are handled in a professional and courteous manner.
  • Support all aspects of procurement, safety, quality assurance, quality control and applicable billings.
  • Log, file and create general responses for Site Manager to review and/or sign. 
  • Act as the receptionist, greeting and signing in all visitors to the site, as well as taking all incoming calls and placing calls for others when necessary.
  • Assist in taking meeting minutes.
  • Prepare and update spreadsheets under Site Manager direction.
  • Assign and route Requests for Information (RFI) and submittals, updating Registers and notifying parties as needed.
  • Process all access requests.
  • Process and follow-up with local vendors and invoices.
  • Serve as a resource to those in the field; handling operational questions and helping resolve problems that are/or could potential impact the operation(s).
  • Performs other related duties as required.

Job Requirements


  • High school diploma, or equivalent, preferred.
  • Three to five years administrative experience on Construction operations.
  • Three to five years administrative experience.
  • Proficiency in word processing and spreadsheets.
  • Computer literacy, knowledge of MS Office (Word, Excel, Outlook, Access).
  • Typing 30 wpm.
  • Knowledge of office management, budgeting, problem-solving management techniques, and data processing.
  • Demonstrate good planning and organizational skills.
  • Excellent phone etiquette.
  • Excellent verbal and written communication skills.
  • Professional appearance.
  • U.S. citizenship or U.S permanent resident status required.
  •  A valid drivers' license issued by state of residence and in good standing is required.
  • Will be required to pass and maintain a valid Department of Defense clearance.
