Job Description

SUMMARY:  Position is responsible for handling all aspects of the front desk and switchboard.  Provide support and assistance to the Executive Administrative Assistant and management personnel as requested.




Front Desk Duties:

Ø  Answer main switchboard in a professional and timely manner.

Ø  Open up the Reception area every morning and lock up at the end of the day.

Ø  Retrieve outgoing mail from the copy room by 9:30 am for mail pick-up.

Ø  Retrieve incoming mail at 2:00 pm to deliver to the Office Manager.

Ø  Forward any faxes received to appropriate parties.

Ø  Update phone list and directories as needed.


Executive Management Support:

Ø  Create tracking forms as necessary and update regularly.

Ø  Maintain database for supplies and inventories.

Ø  Place orders for Office Supplies (gloves, medical cups soap, bags, paper, etc.)

Ø  Create business cards for staff as requested.

Ø  Scan and distribute incoming mail.

Ø  Handle bulk mailing of the quarterly Arc Middlesex newsletter and The Advocate.

Ø  Handle bulk mailing of Annual Family Survey.



Ø  Offer general administrative assistant to all Arc departments.

Ø  Cooperate with The Agency, DHS and DDD in any inspections or investigations.

Ø  Responsible for other duties as assigned.



Job Requirements

QUALIFICATIONS:  Must be at least 18 years of age.  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill and/or ability required. EDUCATION AND/OR EXPERIENCE:  High school diploma or GED along with two-three years related experience or training.


LANGUAGE SKILLS:  Ability to read, write and comprehend simple instructions, short correspondence and memos in English.  Ability to effectively present information on one-to-one and small group situations to customers, participants and other employees of the Agency.
