Job Description

Summary

Administrative Coordinator, Facilities

Roles & Responsibilities

Financial:

  • Purchase Requisition writing and tracking
  • Purchase Order and Invoice reconciliation and Service Report follow up
  • Monthly accrual tracking and reporting
  • Quarterly and Annual budget forecasting
  • Drive continuous improvement and standardization within the functional area
  • Writing, reviewing, evaluating, and selecting requests for vendor proposal
  • Review and Report Service and Financial Metrics
  • Other duties as assigned

Administrative:

  • Facility & Website Communications
  • Paper Mail distribution
  • Facilities 6S board maintenance
  • Tracking personnel Moves, Adds, Changes
  • Architectural Beautification Walk and Report
  • Office Supplies
  • Facility Tour Management
  • Other duties as assigned

Job Requirements

Minimum Qualifications

  • Budget management and accounts payable experience
  • Outstanding organizational and time management skills
  • Must be very detail oriented
  • Ability to work independently and in a dynamic environment
  • Must be customer service focused and a team player that will be responsible for upholding internal controls
  • Requires instructions only on new assignments; recognizes the need for occasional deviation from accepted practice
  • Ability to meet challenges and resolve issues creatively while maintaining relationships
  • Ability to communicate clearly and professionally both in writing and verbally with managers and cross functional peers
  • Provide management with status updates on assigned responsibilities and goals and escalates issues with respect to these responsibilities and goals in a timely fashion.
  • Ability to interface with all levels of the company in a professional manner
  • Advanced understanding of Microsoft Excel, PowerPoint, and Word
  • SAP experience useful, but not essential.
  • B.A. in Finance, Accounting, Business, Marketing or related field required from an accredited university.
  • Equivalent education and experience will be considered. 
  • Typically requires a minimum of 2+ years of related experience.
