The Administrative Support Specialist provides administrative and clerical support for our client company's team. This position deals with a diverse group of important external callers and visitors, as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload for office efficiency. This role is responsible for coordinating office services and related activities for the maximum utilization of services and equipment.
Manages front office activities, including the reception area.
Exhibits a pleasant and welcoming demeanor both in person and on the phone.
Provides effective oral and written communication (via telephone, email, and mail).
Supervises the maintenance of office equipment, including computers, copier, fax machine, etc.
Responsible for the facilities day-to-day operations, including but not limited to typing, filing and scheduling.
Schedules appointments, conferences, travel, and department activities for all staff members.
Maintain schedules for multiple providers, Executive Director, Operations Manager, and Development Manager.
Answers non-routine correspondence and assembles highly confidential and sensitive information.
Provide administrative support to community affiliate programs.
Participates as needed in special program projects.
Skills and Attributes
Computer proficiency for Microsoft Office required.
Constituent Record Management (CRM) experience desired.
Content Management System (CMS) or CRM (Customer Relationship Management (CRM) experience a plus.
Good planning and organizational skills.
Well-developed interpersonal and communication skills.
Friendly with a Customer Focus.
Thorough and organized.
Excellent written and oral communication skills.
Flexibility and entrepreneurial spirit.
Minimum 2-year Associates Degree.
2-4 years of prior administrative/office management experience.
