Medical Records Clerk

ARA Diagnostic Imaging Austin Full-Time

Summary: 

Responsible for maintaining and preparing all confidential records on new and existing patients.  Performs general and clerical office duties. 

Essential Functions:

  • Processing patient images for delivery to referring physicians.
  • Receives phone calls and processes requests for medical records including films and digital images from patients and referring physicians.
  • Uses service desk software to process requests that cannot be completed on site.
  • Communicates with sites and other staff in order to research and resolve open or incomplete reports upon request.
  • Receives, delivers and sends mail including correspondence with patients.
  • Schedules exams performed by outside facilities to be read by ARA radiologists.
  • Assists front desk with patient check-in/out process and answers phones, as needed.
  • Performs other related duties incidental to the work described herein.

 

Physician Request Functions:

  • Receives and organizes incoming requests for copies of images via Fax, Helpdesk, Phone, & Mail from referring physicians and outside facilities.
  • Maintains a system by which requests for images are processed and completed within a specific timeframe.
  • Contacts patients and facilities to arrange pickup or delivery of film and medical records.
  • Produces quality images through ARA’s digital download systems.
  • Gathers and assembles films, CDs, and medical records for distribution.

 

Image Recovery Functions:

  • Oversees and maintains service desk requests of images for internal customers.
  • Accurately notates comments in Synapse.
  • Schedules outside exams prior to outside images being digitized.

 

Digital Media Functions:

  • Schedules and digitizes or uploads previous images to PACS (Picture Archiving Communication System) for comparison to current images.
  • Scans patients’ medical records into ARA’s RIS system as needed
  • Returns films and medical records to appropriate individual or facility.
  • Competently transfer data through various media resources to PACS.

 

 

 

Education/Experience:

High School Diploma or GED.  One to Three years of experience in a healthcare environment.

 

Skills/Knowledge:

  • Ability to multi-task in a variety of settings
  • Knowledge of medical office procedures
  • Knowledge of a variety of medical software
  • Prefer knowledge of basic arithmetic to make simple calculations and the ability to sort and file materials correctly by alphabetic or numeric systems
  • Highly motivated with great organizational skills 
  • Demonstrates appropriate customer service attitudes and services in a variety of work settings
  • Proficient in word processing, spreadsheets, Internet and presentation software
  • Ability to deliver products and services in an accurate, complete and timely fashion, with a results oriented attitude
  • Must be skilled in written and verbal communications, requiring the ability to read and write effectively and efficiently


Working conditions:
May be exposed to negligible electromagnetic radiation.  Must have the ability to lift up to 40 lbs.
