Senior Administrative Specialist

City Attorney's Office

Starting Salary:  $21.01 to $23.11 Hourly; DOQ

Full Salary Range:  $21.01 to $27.70 Hourly


Responsibilities:


This position reports directly to the City Attorney and supports the City Attorney’s Office staff. It also assists the City Manager’s Office, as needed.  The duties include highly responsible administrative work including composing correspondence and preparing memoranda, ordinances, resolutions, City Commission agenda item preparation, contracts, pleadings, and other legal documents with direction from professional staff. This position will respond to inquiries and requests for complex information from the public. Duties will also include maintaining the department’s filing system, preparing files for meetings and hearings, and performing other administrative support functions such as assisting with departmental budget preparation and monitoring, purchasing office supplies/equipment, e-filing with litigation matters, processing expense reports and invoices, coordinating meetings, photocopying and scanning documents.

Qualifications: 

Equivalent to completion of the twelfth grade required with legal assistant coursework preferred.  This position requires three to four years of responsible secretarial and/or clerical experience with strong working knowledge of MS Office to include Outlook, Word, Excel, PowerPoint and Access. Excellent customer service skills and the ability to work with highly confidential legal materials are essential. Strong communication skills, excellent attention to detail and ability to multi-task, highly autonomous and self-motivated, and punctuality are critical in this role.  Key skills must include the ability to adapt and master an ever-changing landscape of internal computer applications & process software. The incumbent must have personable attitude and enjoy working in a fast-paced, highly productive professional office. Applicants selected for an interview will be required to pass a 50WPM-typing test and demonstrate high proficiency in computer skills. The successful candidate must pass an extensive background check and post-offer City physical and drug screen.
