Position Summary:

The Director of Client Intake & Conflicts Management reports to the Chief Operating Officer and to the Chair of  the Business Review Committee and will manage the Firm’s client intake and conflict management teams, systems and processes, ensuring that potential risk is identified and resolved, and new engagements are aligned with the Firm’s policies and strategies. The ideal candidate must possess excellent analytical and research skills and be able to exercise independent judgement. The candidate must also be able to work efficiently and independently with a high degree of accuracy, confidentiality and professionalism.


Position Responsibilities:

  • Serves as liaison by taking action and facilitating communication between Firm attorneys, administrative staff and the Firm’s General Counsel.

  • Develop strong working relationships with attorneys, legal support staff and staff in other Firm administrative departments.

  • Collaborate with Firm management and other administrative departments to ensure coordination of systems, workflows and outcomes to ensure business needs are being met.

  • Assists in answering questions from attorneys and other Firm personnel related to conflicts of interest, the new business intake process, lateral conflicts clearance process, and Firm policies.
  • Under the direction of the Business Review Committee and General Counsel, ensure that the activities of the Intake and Conflicts teams align with Firm risk management policies utilizing industry best practices.
  • Study and stay abreast of current legal and other developments that may affect the Firm’s conflicts of interest procedures.
  • Assist attorneys and staff in the identification and resolution of potential risk associated with new business. Consult with attorneys, the Business Review Committee and General Counsel as necessary to receive guidance on the identification and resolution of conflicts of interest and business related issues discovered during the intake process.
  • Develop and maintain information security policies and procedures to establish and perform maintenance of ethical walls, including coordinating with legal staff and IT to ensure appropriate securities are in place.
  • Responsible for engagement letter, conflict waiver and outside counsel guidelines review, indexing, tracking and reporting.

  • Lead the implementation of standardized client intake procedures across Firm offices, and communicate with Firm management, attorneys and staff on client intake needs and issues.

  • Maintain high standards for customer service and quality control by developing and applying quality assurance protocols to all business intake processes and procedures to ensure consistent and accurate fulfillment of requests.
  • Prepare, monitor and report metrics that document work volumes and throughput time on a quarterly, annual, and ad hoc basis.
  • Consistently review, assess, recommend, and implement process, procedure, and technology improvements to ensure consistent quality, customer service, and efficiency.
  • Conduct root-cause analysis of problems and issues as they arise, and administer appropriate solutions as approved.
  • Manage the department’s daily workflow to ensure that policies and processes associated with new client, new matter, and revisions to existing client matter data are met. Ensure compliance with established standards and procedures to maintain client matter data quality.
  • Develop and maintain library of forms, templates, exemplar language and other resources used by Intake and Conflicts staff during the performance of their duties.
  • Manage the day-to-day operations and staffing needs of the department, including new positions, performance evaluations, employee improvement plans, and terminations.
  • Develop, implement and oversee all training programs for new and established intake and conflicts staff.
  • Develop training and educational programs for in-place staff, with concentrated focus on the Rules of Professional Conduct related to business acceptance, conflicts of interest, internal department resources (such as templates and procedural guidance), Firm policies and procedures, and systems and technologies used in the conflicts and business intake processes.

  • Manage the conflicts analysis of lateral attorney’s prior work histories; identify and resolve conflicts with transfer of client /matters.

  • Other duties as assigned.

Position Requirements and Desired Skills:

  • An advanced degree in business or related field required; Juris Doctorate, preferred

  • At least 5 years of legal experience, including experience in conflicts and legal ethics

  • Substantive knowledge of the rules and professional conduct regarding conflicts of interest and experience recognizing and resolving conflicts of interest

  • Physical presence in office in order to collaborate with, and provide support to internal customers

  • Experience with Intapp Open or similar conflict software, preferred

  • Excellent oral and written communication skills

  • Accuracy, attention to detail and good organizational skills

  • Ability to work under pressure in a fast-paced environment

  • Strong time-management skills and ability to multi-task

  • Strong client service focus and ability to work effectively in a team environment

  • Fundamental knowledge of Microsoft suite of products (Word, Excel, Outlook, Acrobat)
