Job Description

US Tech Solutions is seeking a Admin Coord III for a 18 months position with a client in Foster City/California/USA/94404

Responsibilities:

• Manages and coordinates the Executive Director of Operations calendar and schedule, including meetings, conference calls and external events. Anticipates changes and makes adjustments in a timely fashion. 
• Coordinates complex travel arrangements which include the application of visas to multiple countries. 
• Processes expense reports. 
• Creates work orders, PO’s and tracks invoices for the Operations department.- 
• Works in close collaboration with the other Access Operations & Emerging Markets administrative assistants, around cross-departmental activities and needs. 
• Works closely with senior level team members, executives and senior level administrators throughout the organization as well as VIP delegations. 
• Arranges job interviews for potential candidates, which includes creating and distributing agendas, scheduling and making travel arrangements, and collecting assessment forms. 
• Writes meeting agendas, and provides administrative and organizational support in organizing and conducting team meetings and large events as needed. 
• Plans and organizes team lunches and other departmental gatherings, including catering. 
• Provides technical support to meetings as needed. 
• Keeps Access Operations & Emerging Markets organizational charts updated. 
• Ensures computer equipment and all new hire materials are arranged for new hire onboarding. 
• Uploads Operations contracts and agreements to the Client system. 
• Onboards new vendors into the system. 
• May track Operations department budget as directed by supervisor. 
• Creates or assists in the creation of presentation materials and drafts technical documents as needed. 
• Provides direction and training to other department assistants. This may include new hire on-boarding, development of new department procedures, etc. 
• Purchases office supplies. 
• Uploads information in SharePoint and keeps the different platforms updated. 
• Creates dashboards and provides support in the creation of PowerPoint slide decks as needed.
• Keeps the contracts/agreement matrix updated. 
• Administers Adobe E-Sign.
 

 Requirements:

 

• Requires at least a High School Diploma and at least ten 8-10 years of administrative experience. Bachelors Degree preferred 
• Excellent proficiency in Word, Excel, PowerPoint and Visio. 
• Excellent proficiency in computer systems in general. 
• Excellent verbal, written, interpersonal, project and time management skills are required. 
• Experience working with multiple international markets preferred. 
• Must possess good proofreading and editing skills for technical documents. 
• Ability to approach situations with great poise and manage requests requiring confidentiality. 
• Advanced knowledge and experience using a number of office software. 
• Knowledge of Spanish preferred. 
• Anticipates needs, takes initiative and demonstrates leadership by using critical thinking skills.
