The Human Resources Operations Coordinator will provide support in the areas of on boarding, benefits, exit management, file digitization, and the global digital HR platform. This position will serve as the central coordinate amongst various business lines to process various employee actions. Will be responsible for all new hire activity and an escalation point for level one benefit and policy questions.

Essential duties:

45%) On Boarding and Employee Movement Coordination (USHR Partnership)

  • Coordinates new hire experience between various invested parties (IT, Talent Acquisition, Hiring Manager, HRBP, USHR Shared Services, etc.) to ensure all new hires are prepared to contribute from day one. Identifies and implements process improvement and alignment between various US based business units. Tracks new hire metrics to identify challenges and successes. Makes recommendations for improvement.

  • Consistently communicates with USHR Shared Services team to ensure new hire deadlines are met. Drives each new hire process to conclusion.

  • Manages new hire paperwork process; collecting, filing, processing all necessary document. Owns verification process and vendor relationship.

  • Supports the 60-Day employee engagement initiative by acting as a resource for new hire’s frequently asked questions, platform access, and coordinates successful enrollment in various benefit offerings.

  • Provides real time training for managers in the process of employee transfers, promotions, etc.

(45%) Global Digital HR Platform Support

  • Provides backend support for the launch and continuous improvement of the global digital HR platform.

  • Serves as the initial escalation point for all level one employee questions received via email, digital connect, etc. Escalates all level two issues to the appropriate resource for resolution.

  • Partner with account manager/vertical lead on account mapping for new client revenue accounts

  • Lead support the US digital file transition and continuous management. Identifies, communicates, and implements best practices for compliance.

  • Provides real time training for managers seeking to utilize the digital connect platform for reports, requests, information, etc.

(10%) Benefits Support

  • Provides support to US Benefits Manager by answering level one questions in regards to benefits coverage.

  • Supports managers by providing basic information to begin process of FMLA and other employee leaves.

  • Provides support to US Benefits Managers as needed

Job Requirements

Experience and Education:

  • Bachelor's Degree
  • 2+ years of Human Resources operations experience
  • Experience working in a global setting preferred
  • Experience working in a shared services environment preferred

Knowledge, Skills & Abilities:

  • Excellent Microsoft Office Suite skills. This includes the ability to create and manipulate Word, Excel, PowerPoint documents.   

  • Possesses solid verbal and written communication skills, including the ability effectively reach out to and communicate with employees and managers via phone and e-mail with empathy and positive attitude

  • Extremely flexible with the ability to easily shift priorities with a can-do work style in a fast-paced, ever changing environment.

  • Maintains a keen eye for detail; demonstrates accuracy and thoroughness

  • Maintains a clear and accurate system of organization both individually and when working in a shared environment; completes daily and long-term tasks through effective prioritization and time management

  • Identifies and elevates issues in a timely manner; bring forth suggestions for possible resolution

  • Ability to accurately prepare and maintain records, files, and reports.

  • Ability to work independently, and tenaciously as well as collaboratively as part of a team
