Vantage is currently looking for a Human Resources Team Member to work at our downtown Monroe, LA location.


Job Summary: The Human Resources Administrative Assistant (HRAA) performs a variety of personnel-related administrative tasks. The Human Resources Administrative Assistant will provide daily administrative support to the Human Resources Department and provide high quality employee-focused service to all employees within the Company.

Essential Duties & Responsibilities:


· Process new hire paperwork

o Extend job offers to selected candidates

o Submit background checks and assist with new employee background checks

o Verify I-9 documentation through E-Verify

· Process Annual Performance Reviews, 90-day evaluations, Employee Status Changes, and updates within HRMS systems

· Assist with facilitating new hire orientation for all new employees

· Assist and support HR Representatives and organization supervisors with personnel issues

· Assemble and administer new hire packet paperwork

· Assists in administering employee records by ensuring employee records are current; tracking various employee reports and records; compiling various reports from HRMS as needed; assisting in the development of record keeping procedures; and compiling former employee documentation

· Process and assist in the employee off-boarding process

o Processing in the various systems and coordinating with IT

o Coordinate and conduct exit interviews

· Conduct benefit enrollment for new employees and process the enrollment paperwork

· Update HR databases with employee change requests and process paperwork

· Participate in department quality improvement activities, staff educational programs, and attend departmental meetings

· Maintain all employee files

· Perform complex and confidential secretarial functions

· Maintain confidentiality in the department

· Create and maintains database and spreadsheet files

Marginal Duties:

· Schedule applicants for job interviews

· Review applications to be sent to department heads for review

o May include conducting short phone interviews

· Assist with departmental projects as assigned

· Coordinate onboarding clinical interns and process any/all paperwork required

· Complete verifications of employment for current and previous employees

· Prepare agendas, notices, minutes, and resolutions for corporate meetings

· Type memos, purchase orders, and other company forms and documents

· Other duties as assigned

Knowledge, Skills, and Abilities:

·         Minimum of two years of experience working in Human Resources is preferred

·         Minimum of two years of experience working in a business office setting is preferred

·         Bachelor’s degree in Business Administration or related field is preferred but not required

·         Highly organized and efficient with strong attention to detail

·         Excellent ability to use Microsoft products

·         Ability to work under stress

·         Ability to effectively manage time

·         Excellent verbal and written communication skills

·         Ability to interact effectively with all levels of staff in the organization 

 

Supervisory Responsibilities:

·         No supervisory responsibilities 

 Supervision Received:

·         Works under general supervision of the Human Resources Administrative Supervisor and may take day to day direction from the Human Resources Representatives in the department. May receive occasional supervision from the Chief Human Resources Officer.

Working Conditions:

·         This position operates in a professional office environment

·         Overtime may be required

·         Travel may be required

The employee is regularly required to communicate with others via phone, email, etc. Occasionally, the employee is required to move up to 10 pounds and may, at times, be required to move up to 30 pounds.
