Atkins seeks an energetic and highly motivated self-starter to join our Denver, CO office as a Project/Administrative Assistant II.


MAJOR FUNCTION/ROLE

Provides full clerical support to team of professionals and managers. May function as a receptionist for department or office and be responsible for collecting, sorting and distributing mail to department or office personnel.


JOB DUTIES

Types letters, memos and other documents, which may be of confidential nature, using personal computers and word processing software. Could include the creation of meeting sign-in sheets, meeting notes, or formatting of technical reports and/or technical memos.

Assist with the drafting and submittal of subcontracts and purchase requisitions. Submit contracts for legal review.

Coordinates activities and tasks with other personnel at various departments and/or company offices.

Sets up and maintains files of documents and correspondence.

Makes arrangements for public meetings including logistics, sign-in table staffing, creation of flyers, sign-in sheets, etc.

Makes travel and meeting arrangements, and assembles required material for meetings and conferences.

Makes photocopies and sends or receives e-mails, fax transmissions and other electronic communications.

Updates and disseminates various internal reports requiring follow-up, as instructed.

Assists with designated clerical tasks related to unit activities.

Provide coverage or back up support to the reception desk which may include assigning visitor passes, answering incoming calls on the switchboard and directs to the appropriate individual, and placing calls in voicemail or taking manual messages when necessary. Other duties include maintain log for conference room reservations, greet visitors and direct them to appropriate individual, and arrange for courier services when requested.

Performs such other duties as the Supervisor may from time to time deem necessary.



EDUCATION AND EXPERIENCE

High school diploma (or equivalent) plus three years related experience OR an Associates Degree in a related administrative field plus one year related experience is required.


SPECIAL SKILLS

Good oral and written communication skills, good command of English grammar and spelling. Good organizational skills. Knowledge of Microsoft Office programs (Word, Outlook and Excel or equivalent).
