An exclusive opportunity has arisen for an experienced Executive Assistant to join a Houston-based family office. The Executive Assistant will be an integral part of the Family Office. The role includes providing diversified administrative, operational and day-to-day support to the two Principles working in the office. Our ideal candidate is dependable, highly organized with excellent verbal and written communication skills, has an approachable and professional demeanor, uses discretion as needed in varied situations, and is a team player but able to work independently.

What you will be doing......

  • Calendar management and appointment bookings
  • Act as a "gate-keeper" while prioritizing the needs of the Principals
  • Maintain and organize sensitive and confidential documents
  • Manage travel arrangements for principals and extended family, including travel documents as well as air, dining, and ground reservations
  • Provide logistical support and assist with errands when necessary
  • Schedule and coordinate vendors as well as manage third party relationships for assets/properties
  • Interface and maintain relationships with third party providers
  • Track, retrieve and collate bills for payment. Coordinate payment with principals and external family office representatives

What you need to bring to the table.....

  • 5+ years of professional PA/ EA experience
  • Expert project management/organization skills and exceptional attention to detail
  • Ability to work towards deadlines independently
  • Excellent verbal and written communicator
  • Must possess superior judgment, professionalism, and the ability to always maintain the highest level of confidentiality
  • Perform a wide variety of tasks with the ability to change focus quickly as demands change
  • Proactive, sees something that needs to be done, and takes the initiative to act, self-directed, with excellent problem-solving skills
  • Strong computer skills required including proficiency in Microsoft Outlook, Microsoft Office, Excel, Word and PowerPoint
  • Experience working with QuickBooks and booking knowledge preferred

Additional Requirements:

  • Any offer will be subject to successful completion of a background investigation including a drug test, criminal history, credit report, and verification of employment and education. Security background investigations will be updated periodically thereafter.
  • Work will be primarily on-site Monday to Friday however there may be unique requirements for after hour events or weekend events with advance notice
