Parsons is now hiring an Administrative Assistant for our rapidly expanding Road/Bridge work in our Indianapolis, Indiana office

Parsons extensive experience combined with your attention to detail and willingness to work hard will propel your career forward. We need our Assistants at this level to gather statistics and general data; reviews and combines this information into established reports for use within and outside the unit.

In this role you will perform various administrative, clerical, data collection, data entry, and report writing tasks specific to assigned project or work group.  Most assignments require familiarity with standard Company processes and good PC skills.

Receives direction from immediate supervisor in completing non-routine assignments.   Tasks are completed for Global Shared Services (GSS) and/or Parsons Transportation Group (PTG) as assigned.

SPECIFIC RESPONSIBILITIES:

 

Gathers statistics and general data; reviews and combines this information into established reports for use within and outside the unit.  Scans, faxes and binds documents, reports, and proposals as required by PTG.

Originates correspondence and reports not requiring the personal attention of immediate supervisor. 

Answers telephone, taking and relaying messages, screens callers and directs calls accordingly.  Receives, sorts, and distributes mail.

May establish and maintain records of equipment, including a log of equipment service dates.  May initiate requests for service.

May coordinate physical space requirements for the assigned unit.  Initiates requests for PCs and telephones, and updates Corporate Directory as appropriate. Maintains seating floor plans and creates nameplates for new hires (and moves).  Maintains Office Directory, DOSP and Office Guide, maintains the Office e-mail address and also e-mail addresses as delegated.

May periodically prepare an occupancy report by project or gather information to complete staffing reports for the unit and/or several projects, as directed by immediate supervisor.

Initiates and processes online check requests. Responsible for verifying data gathered, such as matching supplier invoices against file copies. Creates new vendor accounts in the system as required.

Makes travel arrangements and completes expense reports.

Maintains an organized work space by keeping documents and supplies properly stored.

Coordinates and schedules any conference rooms/common areas for the team.  Sets up WebEx conferencing using WebEx/Intercall system for PTG.

 

Qualifications:

  • High School Diploma

  • 5-8 years of relevant experience

  • Good written and oral communication, organizational, and interpersonal skills are required. 

  • Good business English and general office practice skills are required. 

  • Demonstrated proficiency in keyboard skills, as well as a working knowledge of MS Windows and related word processing, spreadsheet, and database software, is required.
