Sr Administrative Assistant

Position Summary:

We are seeking an experienced, reliable and task-oriented senior level administrative assistant. This individual will work directly with C-level executives and will perform a variety of complex and routine administrative duties with minimal supervision. The ideal candidate is highly self-motivated, proactive, friendly, calm, professional, and capable of managing their work load and prioritizing tasks in a fast-paced environment.

Essential Functions:

  • Provides a wide range of administrative support duties to include coordinating schedules to ensure that meetings, deadlines, presentations and other duties are carried out seamlessly.
  • Pays strict attention to detail when composing and proofing materials.
  • Responsible for coordination of meeting agendas, presentations, minutes and meeting deliverables. Deliverables may be in the form of Word, Email, PDF, Excel or PowerPoint.
  • Serves as a gatekeeper for executives by fielding phone calls and meeting requests.
  • Maintains up to date minutes, committee charters and bylaws.
  • Conducts research for executive staff presentations.
  • Assists with logistics for meetings/functions to include space and room set up/take down.
  • Assists with budgeting and seeks to reduce administrative costs wherever possible.
  • Manages company credit card receipts, electronic sign-offs and allocation of expenses to appropriate cost centers.
  • Maintains office supplies, supply cabinet and general office organization. Approves all office supply orders and responsible for contracting with the most cost effective vendors.
  • Organizes and manages MS Outlook calendars for executive staff.
  • Provides administrative coordination and support for the Company Foundation.
  • Schedules and operates across time zones.
  • Exercises discretion and confidentiality with sensitive company or personnel information.
  • Prepares reports by collecting and analyzing data and information.
  • Makes travel arrangements, food orders, etc. for executive staff and/or others as needed in the department.
  • Departmental mail distribution.
  • Other duties as assigned to meet business needs.

Qualifications/Education/Experience:

  • Typically requires 7+ years of experience providing executive-level administrative support, or equivalent combination of relevant experience and college level education.
  • Strong organizational, project management and problem-solving skills with impeccable multitasking abilities.
  • Ability to proofread for grammar and punctuation with a high level of accuracy and attention to detail.
  • Certified Administrative Professional-Organization Management (CAP-OM) certification preferred.
  • Advanced MS Office skills (Outlook Email, Word, Excel, PowerPoint, Publisher), with the aptitude to become proficient in systems unique to the organization.
  • High school education or equivalent is required; college level education strongly preferred.
  • Proven ability to remain calm and confident during high stress situations.
  • Ability to interact effectively with internal and external senior-level executives and their assistants in a professional manner and be proactive in anticipating business and administrative needs.
  • Experienced in handling confidential and sensitive materials and information with discretion.
