General Summary: Reporting directly to the Director of Operations, the Facility Maintenance Manager is responsible for maintaining, planning and coordinating the upkeep of all interior and exterior Memphis Zoo facilities. They are responsible for management of the Facility Maintenance Department staff. This position requires supervising a minimum of ten or more employees, having previous experience in recruitment, managing projects, and maintaining the inventory / bookkeeping system for the department. Facility Maintenance Manager will provide a detailed maintenance report of work requests, material costs, and work order status in a timely manner. To deliver on the Memphis Zoo mission, the Facility Maintenance Manager will: Provide a guest experience of outstanding quality (required) • Directly supervises in-house maintenance and craftsmen projects and daily general upkeep of the Memphis Zoo Facilities. • Directly supports and communicates with city craftsmen, vendors and other facility maintenance or improvement related work. • Provide weekly written updates on status of work requests to city craftsmen, vendors and other facility maintenance or new construction work. • Supervises and coordinates in house staff in project planning and execution of ongoing pressure washing needs, hvac equipment maintenance, and heavy equipment projects/requests. • Directly supervises heavy equipment operators and oversees animal waste management and trash removal. • Secure additional equipment or materials needed from outside vendors on an as needed basis. • Administers and tracks budget and goal performance while controlling material overhead. • Inspects all equipment for safe and dependable operation, scheduling repairs when needed and submits reports as needed to the Director of Operations Job Description, page 2 of 4 • Plan work of self and departments on a weekly basis, incorporating schedule review, project work list and other factors as needed. • Provide written weekly updates to Director of Operations and each requesting Zoo staff members on the scheduling status and work order progress of all internal work requests. • Conduct monthly departmental meetings and generate meeting notes to the staff and Director of Operations. • Conduct one on one meetings with the supervisors and direct report staff at minimum on a quarterly basis and maintain written records of such meetings. • Complete annual employee performance reports. • Prepare purchase orders, check requisitions, and use his/her P-Card as designated by Memphis Zoo policy to purchase needed material and products, using resources of the Purchasing Department when needed. • Develop and administer department's annual goals in keeping with the Zoo's mission statement. • Maintains own time records and schedule the work of those staff supervised and authorizes their time sheets. • Recruits and interviews applicants. • Maintain adequate staffing levels to meet departmental needs and deadlines. • Conducting bi-monthly meetings with the Director of Operations to review departmental goals and objectives, as well as and including, project updates. • This position is designated essential personnel. Some essential personnel are mandated to stay at the facility during a natural disaster or emergency situation or must immediately respond as the recovery team immediately following the storm. Weave quality entertainment through the guest experience (required) • Develops staff through training and coaching to improve overall department performance. • Train, follows up and enforces safety standards in all staff use of equipment, products and PPE and maintains written documentation of all in-service training and submits copies to the Director of Operations. • Maintains inventory of products needed for operation. • Submits Material Safety Data sheets on all products used in the building and park areas. • Reviews with staff and maintains familiarity with Memphis Zoo policy and procedure manual. • Submit to the Director of Operations a weekly time schedule. • The physical demands of the job requires and employee, with or without accommodations, to meet the following physical requirements: standing and/or walking 75% of the time; must be able to lift up to 75 pounds. • Maintain Office space and ensure areas throughout the facility are clean, well-organized and in a safe condition. • Any and all other reasonable tasks required by Director of Operations. • Safely discard of hazmat materials through a qualified disposal company. • Able to read and understand material safety data sheets. • Constant ability to read, record, or type data quickly and accurately required. • Facilitate and maintain a respectful working environment. • Maintain and share departmental SOP with Operations Management team as well as names and contact information for outside vendors used for materials, equipment, and emergency resources. Enhance the care and survival of wildlife through research and conservation • An enthusiastic, self-reliant and self-starting approach to meet job responsibilities and accountabilities • Ability to organize and effectively prioritize a variety of tasks. Job Description, page 3 of 4 • Inform Director of Operations of multiple priority projects to allow Director to prioritize and/or secure additional resources as needed. • Ability to work overtime if/when needed Operate and build relationships with COM skill workers, vendors and third-party contractors. • An ability to interpret a variety of instructions furnished and written, oral, diagram or schedule form. • Ability to manage the department's budget with the guidance of the Director of Operations. • Build and maintain a rapport with outside vendors. Inspire • Know the answers to questions or seek out the answers. • Utilize proper phone etiquette (answer phone within three rings, smile before answering call, ask for permission and wait for response before placing caller on hold). • Ensure work area is free of food, drink, socialization, and personal business. • Follow Dress Code Policy on clothing and grooming. • Keep unpleasant concerns behind closed doors (vent backstage). Supervision: manages the Facility Maintenance Department Experience: • 5 years or more experience in supervising and delegating a staff of 10 or more. • 5 years or more experience managing staff at multiple facilities. • 5 years or more experience overseeing the maintenance and repairs at a large, multi-site facility. Job Description, page 4 of 4 • 5 years or more experience with strong working knowledge of PPE and SDS measures and how out to handle them safely and successfully. Education: 1. High school diploma or equivalent preferred. Licensure/Certification: Valid Driver's License Required, Proof of Vehicle Insurance Required to complete background certification upon completion of 3 month satisfactory probationary period. Software Requirements: basic knowledge in Microsoft Word, Excel, Outlook or Outlook Express with initiative to develop computer skills in any other software applications deemed necessary with improving performance. Machinery/Tools/Equipment Requirements: Must have the ability to use heavy equipment, mobile devices, computer, fax, scanner, phone and copy machine. Environmental/Working Conditions: 1. Working long hours between breaks or meals required. 2. Ability to work under and handle stress in an appropriate manner required. 3. May be exposed to high, medium, or low noise intensity. 4. Constant contact with co-workers required. 5. Affinity for animals preferred. 6. Exposure to fluctuations in temperatures may be required. 7. Exposure to outdoor conditions may be required.
