Legal Secretary - Intellectual Property

Morgan, Lewis & Bockius LLP, one of the world’s leading global law firms with almost 4,000 lawyers and staff in 30 offices is currently seeking a Legal Secretary who will be resident in our Chicago office and support the IP Practice Group. The qualified candidate will provide a broad range of secretarial, document processing and administrative support to attorneys and clients in an environment where superior client service is emphasized and practiced. 
Key responsibilities include, but are not limited to:

• Producing documents, assisting with preliminary drafts, formatting and binder preparation. 
• Marking Word documents for auto cross-referencing.
• Processing new business intake and expense forms.
• Scheduling meetings, maintaining calendars, calendaring litigation dates through ProLaw, entering time, preparing travel itineraries and arranging travel.
• Navigating the Delphion website.
• Monitoring incoming mail, e-mail, and answering phones. 
• Coordinates with Court Clerks to schedule, cancel or discuss hearing dates, etc.
• Schedules court filings and process service using outside vendors (e.g., Lexis/Nexis File & Serve, One Legal, etc.).
• Navigates websites for other countries, including the European Patent Office (EPO) and World Intellectual Property Organization (WIPO).
• Utilizes Electronic Patent Assignment System (EPAS).
• Navigates and uses Patent Fetcher.
• Utilizes CPI (patent docketing software).
• Proficiency with Private/Public PAIR and EFS-Web filing system.
• Prepares forms with the use of Judicial Council Forms through Legal Solutions Plus and specific Court websites.
• Communicates with Court stenographers to order Reporter’s Transcripts of Proceedings, etc.
• Loads, searches and prints deposition transcripts and exhibits from LiveNote and RealLegal E-Transcript Viewer.

Qualified candidates must possess:
• A high school diploma; post high school education preferred.
• Minimum of five (5) years of legal secretarial experience, background preferred.
• Experience with court rules and filing procedures with Federal and State courts, proficiency with manual and/or electronic filings in United States District Courts (ECF) and State Courts, calendaring litigation dates and identifying, marking and creating Table of Contents and Table of Authorities preferred.
• Experience with patent law and the procedures of the United States Patent & Trademark Office (USPTO).
• Knowledge of deposition processes (e.g., ability to accurately calculate witness fees, schedule depositions, engage interpreters, and timely submit errata sheets to court reporters)
• Demonstrated proficiency in Microsoft Word, Excel, PowerPoint and Outlook. 
• Strong organizational skills, attention to detail, and the ability to multi-task in a fast-paced environment. 
• The ability to understand and meet crucial deadlines and manage confidential information with discretion is also required. 
• Excellent written/verbal communication skills, strong interpersonal skills, and the ability to work both independently and as part of a team are a must. 
• Experience with Elite billing system, Worksite or similar document management system.
• Flexibility to work overtime is required.
