Administrative Assistant – Palo Alto, CA
 
Kelly Services is currently seeking an Administrative Assistant for one of our top automotive clients in Palo Alto, CA. This is a long term contract position through Kelly Services listed for at least 6 months. Summary:
This location works at the beginning of the product and technology development process our automotive client. They are part of the Research and Advanced Engineering (R&A) group and work with technology new to our client and the automotive industry and help set the direction for our client when innovating on new products and services. They are creating the experiences and features that will differentiate our client in the coming decades. Our client is currently looking for an experienced administrative assistant to directly support the executive technical director and the broader Research and Advanced Engineering organization in Palo Alto. The ideal candidate will be professional, friendly, and approachable at all times; well-organized, flexible, and enthusiastic with the temperament to effectively manage ad hoc requests in a fast-paced environment.
 
Responsibilities Include (But Are Not Limited To):




  • Manage the calendar, email, and meetings agendas for the executive technical director and potentially other members of his team

  • Schedule engagements with start-ups and VCs and act as the primary point of contact

  • Collect and manage Non-disclosure Agreements (NDAs)

  • Organize agendas for both internal and external visitors, and handle any necessary logistics with facility management

  • Assist in updating and preparing presentation and meeting materials

  • Coordinate travel itineraries, submit expense reports, purchase orders, check requests, and manage corporate card purchases

  • Maintain and monitor a running list of engagements, purchases, and renewals

  • Collect/compile/input resource and engagement data into management tools

  • Coordinate communication and logistics among various team leaders and project teams

  • Generate reports and answer both internal and external inquiries

  • Facilitate communication with the corporate home office (Dearborn, MI) and interface as necessary with the R&A business office as needed



 
Skills Required:




  • Calendar management, meeting coordination, travel coordination, event planning, etc.

  • Strong working knowledge of Microsoft Office, specifically Outlook, Word, Excel, PowerPoint and SharePoint

  • Exceptional written and verbal communication skills

  • Superior planning, time management and organizational skills



 
Skills Preferred:




  • Commissioned Notary Public in California



 
Experience Required:




  • 3-5 years of experience assisting at the executive level in a fast-paced environment

  • Experience managing executive travel and expense reports, preferably in Concur



 
Experience Preferred:




  • Experience with working within the purchasing process of a large organization

  • Experience working in the Hospitality industry



 
Education Required:




  • No degree required
