Vaco is seeking an experienced, service-oriented Payroll Administrator to join the HR team with a great wholesale insurance client of ours. The Payroll Administrator is responsible for performing all activities necessary for full-cycle payroll processing and daily timekeeping requirements. This position also maintains data in the HRIS and provides support for various HR initiatives and functions, including employment verifications, organizational charts, vendor file feeds, communications, etc. It is critical the Payroll Administrator can professionally and effectively communicate with employees and managers. This is a Direct Hire role paying $55-$60K.
Coordinates payroll processing and related payroll tax duties, resolving issues as necessary
Prepares payroll and GL reports for tax filing and accounting requirements
Processes garnishments and child support requests
Uploads 401K, profit sharing and loan contributions to the retirement savings system
Responsible for timely transfer of funds and data to bank, tax service, and other vendors
Supports benefit eligibility files, including making manual updates when appropriate
Maintains timesheets daily and completes audits bi-weekly communicating with employees and managers
Processes data changes in the HRIS related to personal, job and payroll related information
Maintains vendor relationships with HRIS and tax service providers
Supports compensation processes including the annual merit and promotion cycles
Administers employee PTO program, including calendars, adjustments, and reporting
Assists with employee inquiries regarding timekeeping and payroll issues, policies, and procedures, escalating when appropriate
Creates and generates a variety of reports using UltiPro, and distributes them appropriately
Responds to audit requests collecting required data from the HRIS and other members of HR as needed
Responds to employment verification requests
Maintains all organizational charts for the company
Provides support and back-up for various HR projects and initiatives
Requirements & Qualifications:
3-5 years of HR and payroll experience, preferably within a professional services environment
4-year college degree in business, HR, or a related field is preferred
Prior experience with end-to-end payroll processing is required
Must have previous HRIS experience; UltiPro background is a plus.
Excellent verbal and written communication skills with a strong customer service orientation are required.
Proficiency in Microsoft Office Products, particularly Excel, is mandatory.
Demonstrated ability to be discrete and handle confidential, sensitive matters appropriately.
Detail-oriented, efficient and organized with strong interpersonal skills.
Must possess a positive demeanor, professionalism and the ability to work independently.
Client service excellence is mandatory; able to effectively support employees at all levels.
Works effectively in a fast-paced environment and work constructively under pressure.
Strong analytical skills and detail-orientation are necessary.
Able to organize work flow so that multiple deadlines are met effectively.
Must have the ability to build rapport, inspire confidence, establish trust and credibility, and be a part of a team
