We offer a very competitive pay and benefits with flexible work schedule. Our core business hours are Monday – Friday 8:00 am – 5:00 pm.
Please note: our offices are currently closed due to the pandemic and our employees are working from home. Once our offices reopen, this position will transition to working in our Arlington, TX office.
JOB SUMMARY:
This job is responsible for providing a wide range of advanced administrative, office, and project support to multiple managers and/or groups within a division and/or department.
JOB ROLES AND RESPONSIBILITIES:
1.Serve as key contact with clients, vendors and visitors. This includes answering and fielding telephone calls and emails as well as receiving and directing visitors. Triage inquiries to appropriate staff members. May follow-up, research, and respond directly to routine inquiries to provide timely response and customer service.
2.Oversee and administer a full range of general administrative, clerical and office coordination within a division and/or department. This includes but is not limited to:
•Word processing, reporting (standard and ad hoc), presentation production, and data entry activities.
•Compose and prepare routine correspondence and presentations using computer software applications.
•Maintenance and management of calendars to coordinate work flow, meetings, travel arrangements, etc.
•Receive, open, sort, coordinate, and distribute incoming and outgoing correspondence, including faxes, email, express packages.
•Create and modify documents such as invoices, reports, memos, letters and financial statements using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office or other programs.
•Filing and retrieval of organizational documents, records, and reports.
•Performs photocopying and other production services
3.Conduct research, compile data and prepare papers for use internal and external discussions and meetings. This may involve assembling and analyzing routine and/or complex information.
4.Coordinate meeting and conference arrangements. Prepare agendas and make arrangements for meetings. Attend meetings as requested in order to record minutes. Compile, transcribe and distribute minutes of meetings.
5.Participate and support assigned project-based work including, preparation of documents, and follow- up on timelines and deliverables. Attend project meetings and prepare meeting minutes and action items.
6.Advise supervisor of any issues that may impact quality of customer service as well as impact orderly and efficient administrative operations.
7.May participate in budget analysis and preparation.
8.Maintain confidentiality in all aspects of client, staff and Company information.
9.Collaborate, coordinate, and communicate across disciplines and departments.
10.Ensure compliance with HIPAA regulations and requirements.
11.Demonstrate Company’s Core Competencies and values held within.

JOB SCOPE:
This job works under the general supervision to complete job responsibilities. The incumbent relies on previous experience and judgment to support department management in completing daily activities. Work is prescribed and completed with little autonomy and. Work may involve basic project assignments, the need to identify problems and relevant issues, and the use of moderate discretion to assess use/application of and variance from established policies and procedures. This job does not directly supervise other personnel but may on occasion provide lead direction to less experienced Administrative Assistants.
JOB REQUIREMENTS (Education, Experience, and Training):
•Minimum high school diploma or equivalent (i.e., GED)
•Minimum 4 years administrative and/or clerical experience, preferably within an office and/or healthcare environment
•Required licensures, professional certifications, and/or Board certifications as applicable
•Knowledge of principles and practices of organization, planning, records management and general administration
•Knowledge of telephone and e-mail protocol
•Knowledge of word processing, spreadsheet, and computer graphics software
•Interpersonal, customer service, time management, internet research, communication (verbal, written), mathematical, organizational, problem-solving, analytical, and detail-oriented skills
•Ability to interact with others
•Ability to follow oral and written instructions
•Ability to administer assigned responsibilities to ensure excellent customer service
•Ability to use hardware, software, and peripherals related to job responsibilities including MS Office
•Ability to operate standard office equipment, including but not limited to, computers, telephone systems, typewriters, calculators, copiers and facsimile machines
•Ability to type quickly and accurately
•Ability to work well either alone or as part of a team
•Ability to work on multiple tasks with attention to detail
•Ability to work under pressure
