IMI CIB - Executive Assistant - New York Branch

Intesa Sanpaolo Group New York, NY (Onsite) Full-Time

• Perform administrative duties in support of the Country Manager including, but not limited to, answering and screening telephone calls, coordinating client visits, managing travel itineraries, and preparing business reports, filing and organizing documents.

• Manage a robust calendar of meetings and events.

• Maintain conference room schedule and coordinate meetings.

• Anticipate needs and next steps to assist the Country Manager in keeping an on-time schedule for tasks and engagements.

• Coordinate Branch committee and Governance meetings.

• Serve as Secretary responsible for minutes preparation.

• Utilize strong communication skills to originate written correspondence ranging from formal letters to Head Office, clients, regulators, etc.

• Support the GM in planning and organizing special events and projects, i.e., scheduling meetings, securing tickets to events, coordinating venues and tables for Galas, dinners, and major occasions.

• Manage complex international travel logistics and create and prepare corresponding itineraries.

• Prepare detailed expense reports, often based in multiple currencies following local/international travel.

• Provide executive support to the Management team as needed.

• Participate in special projects as needed.



Required Experience

• Minimum of 5 or more years of experience in a similar role working with top management.

• Experience working under pressure and meeting short deadlines.

• Ability to operate independently, set goals, and achieve them with minimal supervision.



Required Qualifications, Skills and Knowledge

• Exceptional interpersonal skills, including the ability to be consistently diplomatic, tactful, and professional with all levels of staff and leaders from other organizations.

• Comprehensive knowledge of an international banking organization and familiarity with seniority levels, responsibilities, and typical functions of an international bank.

• High School Diploma; Bachelor's Degree, a plus.

• Fluency in Italian, a plus.

• Advanced computer proficiency (Microsoft Office Suite).

• Excellent written communication skills.

• Ability to multi-task and prioritize heavy workflow with effective organizational efficiency.

• Project monitoring expertise.

• Experience and understanding of Italian culture, a plus.
