Job Summary
The Capital Assets Database and Accounting Specialist is responsible for coordinating and managing key aspects of the Capital Needs Analysis (CNA) processes to support the routine and strategic management of BYU–Hawaii's facilities, infrastructure, and related equipment. This includes ensuring the accuracy and currency of the CNA database by overseeing project-related information and providing training to Category Leaders and Inspectors on their respective responsibilities. Additionally, the role involves managing and tracking the financial elements of CNA projects, including cash flow, purchase orders, and data entry within the Workday system, ensuring efficient and accurate input of all project numbers.
Primary Responsibilities
CNA Needs Analysis and Accounting
- Prepare and track funding budget in capital asset replacements and renewals. Coordination of BYU-Hawaii Capital Needs Analysis (CNA) processes.
- Manage and oversee the annual inspection process for CNA.
- Maintain accurate working documents, databases, and records related to CNA processes.
- Utilize student employees for data entry, determining the most efficient methods to complete responsibilities.
- Spend time onsite assessing inventory and coordinating with FM shops, upper management, and CES personnel.
- Provide training and technical assistance to department personnel using personal computers, software packages, and online systems.
- Ensure proper utilization of tools and systems for accurate data collection and reporting.
Budget Management & Financial Oversight
- Work closely with the Facilities Management Director to review project budgets, track completion, and oversee project closeout processes.
- Conduct cost-benefit analyses and determine the value of proposed projects.
- Evaluate budget proposals, recommend necessary addenda, and defend budget recommendations to management.
- Organize and present budget data clearly for project managers to determine scope and feasibility.
- Prepare comprehensive reports and submittals for the Church Educational System (CES)-CNA Center.
- Coordinate and attend CNA annual needs review and meetings.
- Collaborate with project managers, Facilities Management teams, and CES personnel to achieve desired outcomes in CNA and related projects.
MINIMUM QUALIFICATION AND EXPERIENCE REQUIREMENTS
Bachelor's degree in business management and accounting or related field. A minimum of four years work experience in a related field required.
KNOWLEDGE, SKILLS, & ABILITIES
- Broad knowledge of facilities management practices in grounds, custodial, utilities and maintenance.
- Project management, scheduling, and planning skills.
- Professionalism in technical writing and human relation skills, and strong interpersonal skills.
- Analytical ability and computer literacy.
- Sound organizational ability.
- Drafting capabilities for use of Computer Aided Design (CAD) is preferred but not required.

Approximate starting hourly rate: 27.00 - 30.00
