Job Description

The University of Nevada, Reno is recruiting for an Administrative Assistant 4 for the Division of Development and Alumni Relations. ***This position does not offer layoff rights and is contingent upon funding. This position is the first point of contact for visitors and callers to the office. This position interacts with donors, prospects, and the general public on a variety of issues and topics. Administrative Assistant 4 will supervise gift processing staff and student employees, and coordinate day-to-day data and gift entry, data accuracy checks, and reporting. This position will respond to basic user inquiries and address questions, concerns, and requests for history and donor info.

Responsibilities include, but are not limited to:

Gift Processing and Data Entry Direct Supervision
  • Ensures all funds are deposited on a timely basis with the Foundation Accounting Office
  • Performs cash, check, and/ or credit card deposits
  • Enters data and actions, runs queries, researches, and maintains information in the Raiser's Edge database regarding incoming gifts
  • Performs complex gift processing duties, such as recording major gifts and stock transactions, as well as being able to perform all duties handled daily by gift processing staff
  • Review and reconcile daily cash and credit card deposits/batches for accuracy of credit to various Foundation and Board of Regent gift accounts
  • Resolve problems including correcting errors and alerting the supervisor of serious errors


Office Management and Administrative Support for Advancement Services Senior Leadership
  • Provides office and advancement administrative support; assists with general reception including making outbound and forwarding incoming calls as needed; updates department calendars; maintains internal department directory and contact information
  • Maintains filing systems including electronic and paper records; other duties as assigned.
  • Supports Advancement Services senior leadership by composing documents and materials including correspondence, emails, memoranda, reports, charts, presentations, scheduling meetings, and other items in support of programs and operations.
  • Manage annual endowment reports and annual scholarship stewardship reports to donors, supports efforts in distributing holiday cards and gifts, birthday cards, memorial notifications, and gift acknowledgments.
  • Maintains procedures and training materials, department metrics. Assists with donor events.


Required Qualifications

This position requires graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one (1) year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.

Preferred Qualifications

Candidates with experience with the Microsoft Office suite including Word and Excel; database management; working with confidential records; and experience with preparation of financial documents and reconciling of accounts are encouraged to apply.

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Compensation Grade

Grade 29 (Entry, Step 01 $19.32/hr. - Step 05 $22.83/hr.)

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
