The Student Accounts Associate is responsible for operational control of all the functions/activities related to a student's account, including the review of all tuition charges, posting, the review of federal and non-federal funds, mandated regulatory reconciliation, billing and receivables, collections, and third-party accounts. The Student Accounts Associate is responsible for maintaining strong internal controls to oversee the accounting, record-keeping, forecasting, and reporting functions related to the school's use of federal and other student funds. The Student Accounts Associate will collaborate with colleagues across multiple departments to implement effective policies and operational guidelines to meet the needs of students, stakeholders, and program requirements while ensuring compliance with school, state, and federal regulations and with standard accounting procedures. A successful candidate will have strong accounting skills, effective communication skills, and the ability to articulate and operationalize applicable regulations. He or she must also have an unwavering commitment to providing exceptional customer service, following the law, and abiding by diversity, equity, and inclusion policies.


Oversees the posting of accurate and timely tuition charges

Uses sound business judgment to identify and recommend appropriate adjustments and modifications to billed charges, loan balances, monthly payment streams, and other charges related to student accounts

Maintains financial records covering all transactions pertaining to student account balances and demonstrates understanding of DOE regulations regarding credit balances and R2T4 needs

Ensures the posting of disbursements and refunds are in accordance with federal and state regulations and institutional policies and procedures

Maintains the accuracy of all fund account balances

Performs monthly and annual reconciliation

Prepares statements and invoices for students and third-party agencies, including payment invoices, VA verification, state authorizations, employer tuition reimbursement programs, etc.

Reviews current and past due student accounts to identify at-risk accounts and resolve past due receivables

Ensures compliance with college, state, and federal regulations and standard accounting procedures

Assists in monitoring and reports cash forecasts

Stays current on changes to state and federal regulations regarding student accounts, student refunds, student financial responsibility, cash/credit handling, etc.

Ensures the timely departmental response to all messages related to student bills and student financial services, including student account emails and phone calls

Performs other duties as assigned
