Process and manage request for quotes, enter resulting order, and manage the Client Experience from start to finish. Assist with the day to day operations of the Client Services Department.
The candidate must possess strong verbal and written communications skills, a working knowledge of MS Word, Excel, Oracle, Acrobat, Outlook and Salesforce, ability to create professional correspondences. In addition, the successful candidate will have the ability to prioritize tasks and meet goals with minimal supervision, be well organized and pay attention to details, possess strong interpersonal skills, communicate effectively, possess a strong work ethic, drive and initiative, and perform special project/duties when requested.
Perform day to day order management duties in Oracle and Salesforce.
Address clients' questions and concerns; provide clients with order status updates timely. Manage the Client Experience from Request for Quote to shipment.
Quote, process, and coordinate spare part orders. Create documentation required by nuclear orders, e.g. Certificate of Conformance; obtain approval on commercial grade dedication when needed.
Process and ship international spare part orders. Create and file documentation required for international shipment, e.g. Certificate of Origin, Certificate of Conformance, Commercial/Proforma Invoice, Packing List, Shipper's Letter of Instruction (SLI), Electronic Export Information (EEI), etc.
Obtain approval and process retuned material authorizations, warranty claim and customer concession when needed.
Work closely with the Logistics and the Quality teams to ensure components are correctly picked, tested, and shipped in time.
May need to interact with outside carriers for international shipments.
Generate custom invoices when needed; assist Accounts Receivable with collection on advance pay, progress billing and past due invoices.
Assist the Regional Service Sales Manager with client accounts.
Candidate must have a minimum of 2 years of project management/client relations experience.
2-year college degree in business or project management preferred, but experience is also considered.
