Job Summary:
We are seeking a customer-oriented Parts Coordinator to handle inquiries, process sales transactions, and provide technical assistance. The Parts Coordinator ensures accurate and timely delivery of parts, maintains inventory records, and assists in purchasing and inventory management. Strong communication skills, attention to detail, and product knowledge are essential. Collaborating with the Department Manager on sales promotions and business development is also required.
Essential Functions:
1. Respond to customer inquiries regarding parts sales, technical assistance, and products.
2. Identify and recommend appropriate items using parts catalogs or computer systems.
3. Process orders, price items, and handle payment arrangements.
4. Ensure timely delivery of parts to customers, technicians, or sales personnel.
5. Provide high-quality customer service to external and internal customers.
6. Stay updated on new products, bulletins, and catalogs.
7. Enter transactional information accurately and promptly.
8. Assist in maintaining inventory accuracy through cycle counting.
9. Rectify discrepancies between inventory records and stock quantities.
10. Tag returned and warranty parts for credit recovery.
11. Assist in purchasing parts and maintaining inventory levels.
12. Handle shipping and receiving tasks for timely processing and delivery.
13. Adhere to the company's policy on special ordering of parts.
14. Support sales promotions and business development efforts.
Minimum Qualifications:
1. Minimum of three years of related experience.
2. Excellent communication and organizational skills.
3. Ability to follow instructions in English.
4. Lift up to 75 pounds.
5. Proficiency in MS Windows programs and familiarity with ERP and CRM systems.
6. Indoor and outdoor work flexibility.
Additional Responsibilities:
1. Order parts once a quote is won by the Service Writer.
2. Assist in researching parts when necessary.
3. Track parts orders and expedite delivery if needed.
4. Notify Service Writer and Sales Representative of order delays.
5. Coordinate with the Warehouse and schedule repairs upon receiving parts.

3. Knowledge of engine parts and electrical components.
4. Familiarity with inventory systems.
5. Effective sourcing capabilities.
