Job Description

Halff Associates has an immediate opening for a full time Receptionist/ Administrative Assistant agent for our team in our McAllen, TX office. 

We are looking for candidates with a sense of service, sense of urgency, and the ability and willingness to interact with the team, others in the firm, vendors, and clients in a cordial and productive way. This position will be responsible for both Administrative and Right-of-Way assignments, as outlined below.

Responsibilities:
  • Primary Receptionist
  • Primary for Administrative support to Right-of-Way group
  • Primary for Admin support for Operations Manager
  • Primary for Office supply procurement
  • Primary for Mail management
  • Back-up to provide administrative support to Marketing group
  • Back-up for other Admins
  • Back-up support to arrange educational seminars and events
General Administrative duties include, but are not limited to:
  • Uploading documents
  • Filing (both electronic and hardcopies)
  • Significant mail/postal duties
  • Route documents for processing and approval
  • Clean-out files, organize and shred documents, as needed
  • Assist with day-to-day office needs
Qualifications:
  • 5 plus years of Administrative background
  • 1-2 years of Right of Way or Real Estate experience is a plus, but not required
  • Proficient experience in Microsoft Outlook, Word, Excel & PowerPoint
  • Must have experience in assisting with Technical Writing and Proofreading
  • Ability to lift up to 25 lbs for mail room duties
  • Able to work independently and as part of a team
  • Excellent oral/written communication skills and attention to details
  • Comfortable/accurate with data input
  • Demonstrate a drive and initiative with a positive and professional approach
  • Must be able to multi task and perform duties in a timely manner
  • Experience working in an A/E firm is a plus, but not a requirement
  • A Bachelor Degree is preferred, but not required
