The Contract/Grants Administrator is responsible for grants and contracts administration, as well as managing grant related compliance. Must be knowledgeable across the range of externally sponsored activities, including the areas of grant proposal development, proposal submission, grant agreements, and pre and post-award grant administration. Reporting to the CFO, this position will provide day-to-day oversight and control of grant expenditures. The Contracts/Grants Administrator maintains relationships with external grant managers and program officers of funding bodies. Additionally, this position coordinates the implementation of sub-awards and ensures post-award compliance. The Specialist, in conjunction with the Controller, compiles financial and non-financial data for the preparation of internal reports, compliance reports, and grant billings. This position represents the organization in annual A-133 audit and other federal agency reviews. This is a ?hands-on? position that requires an individual who is proficient at directly executing the work in addition to interfacing with program managers and providing them with guidance on, and approvals for, grant expenditures. Essential Functions: Responsible for ensuring that all required fiscal reports are prepared and submitted in accordance with grant or contract requirements. Specific duties include: ? Verify that general ledger detail accurately reflects program activity ? In collaboration with finance team, create system for maintaining adequate documentation of grant expenditures ? Prepare and submit periodic grant reports and invoices, as required ? Track grant requirements and deliverables Responsible for ensuring that payments to sub-recipients and vendors are in compliance with grant requirements. Specific duties include: ? Review sub-award procedures to ensure compliance ? recommend changes as necessary ? Review and provide approval for specific sub-awards ? Review vendor contracts for compliance ? recommend modifications as needed Other Duties as Assigned: Perform special projects and research as assigned. ? Perform other duties as assigned. Education, Skills, and Abilities: The incumbent must possess personal initiative and work collaboratively as a member of a diverse, multi- cultural team. The individual must have strong interpersonal, communication, and writing skills and the ability to exercise effective professional judgment. Additionally, the manager must possess a demonstrated ability to perform as team leader, be self-motivated, be resourceful and must be able to effectively manage multiple tasks with conflicting priorities on time. ? Bachelors Degree or equivalent experience ? A minimum of five years of grant administration experience -- proven success in managing complex grants and contracts from conception to conclusion ? Familiarity with the requirements of Federal OMB Circulars A-110, A-122 and A-133 ? Experience evaluating internal controls ? Experience working with federal grants or cooperative agreements ? Experience with creating fiscal budgets ? Excellent verbal and listening skills; strong oral presentation ability ? Experience in cost accounting and financial management systems ? Strong business writing skills including ? Proficient user of Microsoft Office applications including Word, Excel and PowerPoint ? Experience with Financial Edge
Required: 1. 2+ years of non-profit AR/Grant accounting experience preferred. Exposure to complex federal and state contracts/grants, as well as contracts with private foundations is a plus. 2. Intermediate Excel is required, advanced Excel preferred. Skills in Abila MIP and Raiser?s Edge a plus. 3. BS Degree preferred. Keys: 1. Highly detail oriented- ensuring that invoices and cash applications are accurate and posted per contract/grant requirements. 2. A forward thinker who makes process improvements, looks for efficiencies and cost savings. 3. Strong communication and team work- will work with accounting, Program Directors, contracts/Grants team.
