Job Description

JOB DESCRIPTION SUMMARY

Responsible for processing payroll and payroll adjustments including verifying for accuracy of personnel data; reviewing and importing employee time cards into time and attendance system; inputting employee information, including new hires, termination, transfers and rate changes; processing special payrolls; researching and resolving questions/problems from managers and employees; updating various spreadsheets and providing reports as needed and/or requested.

JOB DESCRIPTION DETAILS

  • Payroll Processing and Data Entry

  • Process payroll and payroll adjustments, including verifying for accuracy of personnel data, i.e. names, rates of pay, withholdings, state/local taxation and changes in job codes/wage rates, etc.

  • Gather and compile data for payroll processing, import from various systems for time entry, overtime, expenses, vacation and sick time, etc.

  • Record changes affecting net wages, including but not limited to unpaid leave, benefit deductions, 401K contributions, FSA, changes in withholdings, wage rate changes, etc.

  • Compute pay according to company policy and compliance with state and federal regulations; work with cross-functional teams to resolve any issues or problems that may arise.

  • Review and import employee time cards into payroll system via time and attendance system; checks for accuracy and necessary approvals.

  • Input employee information/data; ensure integrity and accuracy of payroll data for new hires, terminations, transfers and rate changes; make adjustments and updates as necessary.

  • Process special payrolls including terminations, annual bonus and year-end adjustment payrolls.

  • Research and resolve questions from managers and employees relating to the processing of payroll information and employee change information.

  • Enter and update spreadsheet information, including but not limited to emergency contacts, LOA, PAN forms, etc.; ensure information is accurate and up-to-date.; file documentation in employee files.

  • Ensure all State Unemployment Insurance rates (SUI) are accurate and up-to-date in the payroll system; ensures appropriate tax forms are completed by each employee and maintained in employee file.

  • Maintain and review Canada and Mexico payroll information.

Record Retention Administration

  • Manages the administration of the I-9 process.

  • Ensures that all personnel files are kept up to date by filing all pertinent information in a timely manner.

  • Ensure files are cycled in and out based on HR’s Record Retention Policies.

  • Records and maintains all Human Resources’ files and documents, assuring that the Company remains compliant with HR’s Record Retention Policies.

REQUIRED QUALIFICATIONS

  • Knowledge of computer programs, including Microsoft Word, Excel, Outlook, PowerPoint, ADP, SAP,  Kronos

  • Knowledge of state/federal government regulations, payroll taxes, standard payroll concepts, practices and procedures

  • High School Diploma or equivalent

  • 1-3 years previous payroll experience, required

  • ADP experience, preferred
