We are seeking a talented, energetic and bright individual to join our team to provide a variety of clerical and administrative support to departments, managers, professionals and/or projects. The Administrative Assistant Senior will assemble and analyze fairly complex information or data and develops reports.
Duties and Responsibilities:
Maintains various administrative reports. Provides status reports to management or corporate as required.
Assists in developing and monitors budget.
Prepares letters, memoranda, policies, reports, briefings, studies, or other information as needed.
Act as HR liaison in new hire orientation, and exit interview processes.
May function as quality assurance representative for the facility.
Perform facilities functions:
Point of contact for the maintenance of the building facilities.
Primary interface with facility landlord. May act as liaison to Facilities Director or Manager to inspect and surface new leaseholds.
Establishes and maintains procedures for tracking all company and government-owned property and equipment.
Oversees the facilities telephone system and billing/payment processing.
Performs additional duties and responsibilities as assigned.
Operates a switchboard or telephone console to route incoming calls and place outgoing local and long-distance calls. Takes and routes messages to other employees.
Maintain visitor log by greeting, identifying and directing visitors, and arranging for escort as appropriate. Ensure all visitors, including employees sign into visitor log.
Maintain visitor badges and loaner badges via visitor/loaner log. Create employee badges for new/existing employees and visitors.
Provides information and assistance to clients and customers.
Answers inquiries for the general public.
May provide word-processing, typing.
Schedule appointments, maintain master conference room edit rights, receive messenger/courier items, and assist with special event coordination.
Maintains and updates vendor files. Serve as liaison for vendors and approve vendor invoices. Enter Vendor purchase orders and purchase change requests in procurement system. Update Vendor Budget Information monthly
Order office and pantry supplies, keeping inventory. Stock Pantries, production rooms and printers.
Sign for all incoming packages and mail and notify appropriate individuals
Update Occupancy information in SharePoint Site.
Responsible for employee headcount during fire drills and emergencies.
Performs additional duties and responsibilities approved by Supervisor.
Advises managers and staff on proper procedures and policies.
Other duties as assigned.
Education and Experience:
Associate's Degree in a related discipline, or the equivalent combination of education, training, or work experience and at least 5 years related experience.
Education and work experience may be adjusted for highly specialized knowledge or uniquely applicable experience.
Knowledge, Skills, Abilities:
Excellent communication and interpersonal skills.
Excellent grammar, punctuation, spelling and proofreading skills.
Excellent word processing skills and proficiency in Microsoft applications.
A security clearance of an appropriate level may be required after employment.
