Job Title: Executive Assistant
Location: Mill Valley, CA
Our client is seeking an organized, self-motivated Executive Assistant for the West Coast office of a holding company for a Japanese conglomerate. As the Executive Assistant of the West Coast Office, you will be responsible for a variety of tasks such as assist the Executive team on various projects, organize meetings and company events, assist with light accounting related tasks for both the West Coast and East Coast Offices, and assisting our Japanese colleagues in various items relating to living in the US. Strong ability to work as a team, positive attitude, professional demeanor, and attention to detail are a musts as you will provide office support and coordinate office activities.
Executive Assistant Responsibilities:
§ Provide support to the President and executives of the West Coast office on various projects.
§ Assist in the preparation and submission of regularly scheduled reports such as assist executives with expense reporting, monthly accounting/finance reporting and other ad hoc accounting and finance related reporting, etc.
§ Maintain calendar for executives. Organize and schedule appointments
§ Write correspondence memos, letters, faxes and forms.
§ Assist our Japanese Expat co-workers on personal matters relating to living in the US (for example, communication with landlord, utilities on various items, possible communication with schools for the children, etc.).
§ Provide general support to visitors as needed (assist with issues that may arise during their visit to our office)
§ Book travel arrangements.
§ Provide support to West and East coast accounting and finance team members in accounting and finance tasks such as light booking, AP/AR related assistance, reconciliation of various payments and records.
Executive Assistant Requirements:
§ Strong written and verbal communication skills
§ Professional demeanor.
§ At least 2 years' experience as an Executive Assistant or other relevant experience.
§ Some Accounting or related experience.
§ Working knowledge of office equipment, like printers and fax machines
§ Proficiency in MS Office (MS Outlook, Excel, PowerPoint and Word)
§ Excellent time management skills and the ability to prioritize work
§ Attention to detail and problem solving skills
§ Strong organizational skills with the ability to multi-task
§ Valid driver's license and access to a vehicle.
§ Telephone skills, verbal communication, listening, professionalism, customer focus, organization, handles pressure, maintains decorum under stress.
§ Must be able to remain in stationary position 50% of time; and move about inside office to access file cabinets, office machinery, etc.
§ Some Japanese language abilities a plus.
