RECEPTIONIST - Job Description

EVALUATION CRITERIA: You will be evaluated annually on your levels of performance of the following numbered



The Receptionist is expected to have the switchboard open and operating promptly at 8:00am and throughout the day until 5:00pm. Relief switchboard coverage will be provided for a one-hour lunch. The Receptionist welcomes, directs visitors; notify employees of visitor arrival; maintains telecommunication systems, and provides administrative assistance to the Human Resource Manager, Contracts Administrators and Estimating Staff.


2.1) _____ Ensures that telephone system is consistently monitored. Ensures that all calls are "picked up by the 3rd ring, and the caller is directed to the appropriate person as necessary and/or properly detailed message (including correct names and contact information) is taken and delivered to the call recipient.

2.2) _____Ensures that the front office area is "covered at all times, that all visitors (customers, visitors or employees) are greeted, and directed to the appropriate personnel/department as efficiently as possible.

2.3) _____Maintains a cooperative working relationship with all personnel and a professional relationship with the Customers.

2.4) _____Respect the confidentiality of personnel and corporate records and information.

2.5) _____Meet scheduled deadlines for completion of work and any other time sensitive responsibilities.

2.6) ____ Show ability to consistently recognize and deal with priorities.

2.7) ____Recognize and perform other duties not directly assigned.


3.1) ____Operate telephone system to receive and relay incoming calls. Takes and delivers timely, accurate message when required. Checks general voice mailbox daily, distributes messages to recipient.

3.2) ____ Greet all visitors courteously, determine their needs and direct them to the proper personnel.

3.3) ____Receives all outgoing mail, adds postage and sorts for delivery/pickup.

3.4) ____Calls the CFO when any incoming mail and any overnight packages are received, contact warehouse for larger items.

3.5) ____Provides administrative assistance when needed, seeks out work to help in other departments.

3.6) ____Prepares overnight deliveries, ensures all mail correspondence receives postage and is ready for pickup.

3.7) ____Assist the HR/Payroll department with payroll checks to include distribution and sorting when directed.

3.8) ____Assist HRM with applicant processing such as calling applicants for interviews and orientation; putting orientation packets together, personnel files and other HR related duties as assigned.

3.9) ____ Other tasks and/or duties as assigned.


The Receptionist reports to and receives direction form the Human Resources Manager.



6.1) Education

a) Required: High School Diploma

6.2) Licensing /Registration/Certification: None

6.3) Experience:

a) Required: None

b) 1- 2 years of business/receptionist experience in a similar or larger sized office.

6.4) Skills, Knowledge and Abilities:

Human relations skills to deal effectively with visitors, customers and/or employees in person or on the telephone. Typing ability.

___ Attention to detail

___Able to work with minimum supervision

___Customer service driven

___Knowledge of MS Office (Word, Excel, Outlook, Access)
