Office Clerk/Receptionist
The general receptionist greets visitors/ callers to the dealership and refers them to the correct department
The general receptionist also provides assistance to departments including accounting and sales with basic duties/ responsibilities.
JOB SCHEDULE:
MONDAY - FRIDAY 8:00 AM - 1:00 PM
EVERY OTHER SATURDAY IS 8:00AM - 6:00 PM

Core Responsibilities
- Answer the phone in a polite, professional tone, transfer call to correct employee, or take a detailed message with convenient time and number for return call.
- Register customers with the CRM including, but not limited to, logging visitors, scanning driver's licenses, assigning salesperson to profile according to current processes.
- Clean, maintain, and restock the service lounge and coffee bar at the beginning and end of each shift.
- Contact customers (call, text) to inform them that their registration and/or tag is available for pickup and add notes to the CRM of attempts and contacts made
If customer instructs to mail it to them, always verify address to be mailed to, fill out proper envelope and place in outgoing mail bin
File tags to be picked up. - Verify customer name, address and vehicle before handing out tags/ registrations.
- Assist accounting office with assigned duties
- Print Inventory Sheets for salespeople, as needed.
- Fill and mail out temp marker receipt books when completed and turned in
- Maintain and update reference guide related to current job duties and office processes.
- Turn on TVs at the beginning of and off at the end of the day.
- Fill up copiers and printers with paper.
In addition, the general receptionist should:
- Possess basic math, computer, and Microsoft Office skills.
- Be capable of speaking with customers or employees; reading/ understanding manuals.
- Keep work area clean and orderly.
- Be professional and courteous in attitude, wardrobe and grooming.
- Complete other duties as assigned.
- Greeting and assisting clients
- Handling a variety of administrative support tasks
- Providing outstanding customer service
- Experience as a receptionist is a plus
- Excellent written and verbal communication skills
- Great telephone communication skills
- Great organizational skills
- Good computer skills, including competency in Microsoft Office programs
- Good time-management skills
- Customer-centric approach
- Professional and friendly disposition
- Ability to work in a team
- Willingness to assist colleagues with administrative tasks
