Job Title: Safety Administrative Assistant – SoCal
Position Description: The Administrative Assistant will provide safety administrative support for SoCal projects and for the Safety Department. This individual will be working in a fast-paced environment that will require the ability to multi-task, to work independently with minimal supervision, as well as the ability to take direction and prioritize work from multiple contributors.
Reports to: Business Unit Safety Director
Act as liaison between supervisor and others (i.e., departments, external contacts, subcontractors, clients, etc.).
Oversee/process day-to-day administrative items: mail, overnight mail, packages, expense reports, checks, process invoices for payment, etc.
Schedule, organize and track meetings for the safety department.
Interface with Subcontractors, Superintendent, PMs, PXs, Operations Managers, and other project staff regarding specialty safety programs procedures: dbo2, project start up, Drug testing, POC, OSHA 30 requirements, Part I & II completion for EVOCO compliance, Risk Console, etc.
Maintain a high level of professionalism when interfacing with Claims, Marketing, FC Background Drug Testing as well as all other internal and external departments, subcontractors, clients, vendors etc.
Collect and enter labor hours, maintain and distribute reports in a timely manner.
Compose, edit and distribute letters, memos, reports and other departmental or project correspondence on time. Keep track of when recurrent reports are due and meetings are scheduled, including maintaining lists of recipients and/or participants.
Process orders and reports as required and respond to requests for information.
Set up new projects with required safety documentation, supplies and postings.
Prepare and distribute monthly executive safety reports.
Provide administrative support to BUSD as needed.
Interface with Marketing in completing safety proposals.
Maintain confidentiality in all matters.

Qualifications: Minimum of 2 years’ experience as a safety administrative assistant in the commercial construction industry.
Four or more years’ experience in general office responsibilities and procedures including receptionist, administrative assistant and/or office manager experience. Excellent verbal and written communication skills, presentation skills and high level of professionalism is required. Strong computer skills and ability to learn new programs. Must be able to execute time sensitive deliverables. Must be able to work independently and as part of a team.
