Description

Job Summary:

Under limited supervision, uses extensive knowledge and skills obtained through education and experience to monitor, track and produce tools for branches to improve productivity and operating efficiency. The Division Administrator will represent the division as both a project manager and project team member in multiple projects that have a significant impact on future growth. The Division Administrator will work independently on difficult assignments broad in nature and that require originality. Maintains extensive contact with internal customers, Financial Advisors, subject matter experts, Senior Management as well as external clients and vendors.

Essential Duties and Responsibilities:

  • Support branch office personnel (Financial Advisors, Operations Managers and Branch Managers) and fill in for Operations Managers out on extended leave, as appropriate.

  • Manage branch facility projects such as new office openings, relocations and renovations.

  • Create space plans, monitor and manage budgets, meet deadlines and communicate up stream.

  • Ensure goals and objectives are achieved within required time frames and budgets.

  • Work with the Transitions Department to coordinate transitions for new Financial Advisors and their respective teams. Participate in training calls, collect and review new hire paperwork, and travel to branches to support the onboarding process.

  • Review, monitor and report on monthly and quarterly financial statements for all of the branch office locations in the division.

  • Perform month end profit and loss analysis.

  • Prepare management reports. Analyze and reconcile G/L accounts to ensure the integrity of the information and resolve discrepancies.

  • Review, monitor, and follow up with branches on Monthly Supervisory and Compliance Reports.

  • Handle all administrative approvals within the division, including collecting documentation for exception purposes, entering routine approvals via the online system and filling in as the Rep In Charge when needed.

  • Make administrative and procedural decisions.

  • Compile data for reports and collate the information into a single report. Conduct complex research and investigation, and may prepare analyses of the data.

  • Resolve complex branch issues.

  • Approve division expense reports and Outside Activity Reports.

  • Complete Pro Forma for new branch openings and for Raymond James Advisor Select internal considerations.

  • Research errors hitting the branch P&Ls.

  • Create SharePoint site for Financial Advisors.

  • Disseminate monthly division newsletters.

  • Maintain and manage the division SharePoint site for Branch Managers.

  • Approve group names and DVP accounts for the division.

  • Review scorecards for division prior to distribution.

  • Provide branch compliance and management oversight as needed.

  • Approve Letters of Authorization, as required.

  • Review branch occupancy reports to ensure accuracy.

  • Perform other duties and responsibilities, as assigned.

Qualifications

Knowledge, Skills, and Abilities:

Knowledge of:

  • Financial industry.

  • Basic business administration principles.

  • Economic and accounting principles and practices.

Skill in:

  • Concierge level customer service experience.

  • Interpersonal, project management, problem-solving and decision making skills.

Ability to:

  • Work independently and collaboratively within a team environment.

  • Be receptive to both internal and external clients needs.

  • Establish and maintain effective working relationships at all levels of the organization.

  • Use appropriate interpersonal styles and communicate effectively, both orally and in writing.

  • Balance conflicting resource and priority demands.

  • Provide a high level of customer service.

Educational/Previous Experience Requirements:

  • Bachelors Degree (B.A.) in Business Administration or a related field with a minimum of two (2) years of experience in a professional business environment as an operations or administrative professional.

  • An equivalent combination of education, training or experience as approved by Human Resources.

Licenses/Certifications:

  • SIE required provided that an exemption or grandfathering cannot be applied.

  • Series 7 required.

  • The ability to attain Series 9, 10, and 66 within one (1) year of hire.
