Home Instead Senior Care Quad Cities is one of the largest and fastest-growing home care companies in our community. As the face of Home Instead Senior Care, the First Impression Coordinator (FIC) plays a critical role in creating an inviting environment for all customers, both in person and on the phone. Likewise, the FIC plays a significant role in enhancing the CAREGiver experience and creating positive impressions. This position handles office and administrative duties and support to other staff members with clerical tasks in order to provide the highest quality service to clients.

Duties include, but are not limited to:

  • Handle office responsibilities to allow a consistent full-time networking effort, which is critical in building the business
  • Greet and welcome each visitor in a friendly, warm and professional manner
  • Take ownership of keeping the Lobby, Conference Rooms, and Break Room is neat, clean, orderly and free of clutter.
  • Answer each incoming call in a friendly, professional and knowledgeable manner and distribute incoming calls to the appropriate staff members
  • Field new client inquiries over the phone in a knowledgeable manner and schedule care consultations
  • Assist with the hiring process for new CAREGiversSM, duties may include fielding employment inquiries from prospective CAREGivers and moving applicants through the process
  • Enter and maintain accurate client and CAREGiver records in the operating system
  • Communicate client and CAREGiver concerns or problems with the owner or other staff members as appropriate
  • Determine each visitor’s purpose in a pleasant manner and promptly notify the appropriate staff member of their arrival
  • Organize and distribute the daily mail according to prior instruction.
  • Provide feedback to improve Client & CAREGiver experiences and offer solutions.
  • Document all communications in a timely and accurate manner at all times
  • Assist with CAREGiver Orientation and Training as needed.
  • Assist with Client/Caregiver Introductions as needed
  • Assist in coordinating quarterly CAREGiver meetings and office events
  • Order and stock office supplies
  • Maintain supplies for postage, fax & copy machine

The ideal candidate will possess:

  • The ability to work independently, maintain the confidentiality of the information and meet deadlines

  • Ability to operate a multiple phone line system and standard office equipment including fax, copier, & scanner

Minimum Qualifications:

  • High school diploma or equivalent
  • Two years of related business experience or an equivalent combination of education and work experience may be considered.
  • Prior experience as a CAREGiver preferred
  • Proficiency in using Microsoft Word, Excel, Publisher and PowerPoint in addition to using database programs
  • Present a professional appearance and demeanor
