Position Title:  Resource Coordinator

GROUP/PROJECT INFO: 

The Recruitment Associate, Enterprise contributes to BMO success as a key member of the Campus Recruitment, Enterprise team to ensure our hiring process runs smoothly from end-to- end for all campus programs (interns, new graduates, off-cycle, alumni). This person will be an integral partner in managing recruiting activities such as, recruitment support, program coordination & delivery and champion the BMO brand to all candidates and campus stakeholders.

  • This group is very energetic and outgoing. This group is rather small (About 3 people overall within Chicago).

RESPONSIBILITIES INCLUDE (but are not limited to):

Candidate Care & Relationship Management

  • Manage communications with candidates and hiring managers to ensure a positive candidate/hiring manager experience and to live the brand of “We’re here to help”
  • Work with internal and external partners to support the execution of program deliverables (e.g. Organizing events; conducting evaluations, interview scheduling etc.)
  • Liaison and form partnerships between People scout, BMO Recruiting and Schools
  • Recommend industry trends and best practices in support of ensuring great candidate and hiring manager experiences 
  • Deliver strong presence and model Being BMO on Campus and related events

Requisition & Recruitment Management Process

  • Manage the candidate and hiring manager experience (in Taleo) throughout the requisition stages
  • Ensure requisitions meet all compliance standards to mitigate BMO’s risk, which includes all roles posted include the appropriate taglines and correct approvals. This also includes compliance of the Client Relation Management System (CRM) and all trackers
  • Ensure all systems are up to date with candidate information and are reflective of the candidates application status
  • Execute on the end to end process of the offer letter and ensure correct reviews and information captured
  • Investigate, resolves and follows-ups regarding any Taleo issues or errors
  • Support the team with special projects & process recommendations

Recruitment Administration & Support

  • Coordinate information sessions & handle all logistics (for catering, transportation, briefing materials & all other items)
  • Manage all school postings and school logistics for on campus events
  • Schedule candidates for interviews and ensure all interview packages are prepared for interview days
  • Advise on questions candidates may have regarding their application or process
  • Support Recruitment Manager with additional administration 

Risk Management & Compliance

  • Ensure the effective monitoring of operational controls is in place to identify any deficiencies and support the initiation of appropriate actions to ensure controls are adequate.
  • Ensure adherence to all aspects of First Principles our code of Business Conduct and Ethics.
  • Follow established standards and governance for the candidate database, including the relationship management and contact standards, ensuring privacy of information and a systematic approach for recommending candidates for specific roles. 

TOP SKILLS / EXPERIENCE:

  • 1-2 years of relevant experience in HR in a large organization
  • The hiring manager stated they must also have some sort of coordination experience (Either Project coordination or HR coordination etc.) 
  • Ability to balance multiple demands and priorities
  • Well organized, with a strong eye for detail and operational efficiency
  • High degree of integrity in dealing with sensitive information
  • Ability to independently manage multiple priorities and meet tight timelines

NICE TO HAVE SKILLS/EXPERIENCE:

  • Knowledge of Taleo and other recruitment software is an asset.
  • Prior Bank/FI
  • Campus Recruitment experience. 

SOFT SKILLS: 

  • Ability to balance multiple demands and priorities
  • Well organized, with a strong eye for detail and operational efficiency
  • High degree of integrity in dealing with sensitive information
  • Ability to independently manage multiple priorities and meet tight timelines

EDUCATION/CERTIFICATIONS: 

  • Undergraduate degree and advanced HR certification is an asset
