Overview:

• This is an hourly position with excellent compensation, that is non-exempt from FLSA overtime rules.
• This position requires the performance of office work directly related to the general business operations of HD Industries, LLC d.b.a. Home Instead®.
• This position requires the exercise of discretion and independent judgment regarding the significant matter of maintaining the daily schedules of clients and CAREGivers thus creating a basis of billable services for the business.

Objective:

• The CAREGiver Scheduler ensures quality client care by managing the service schedule with the following goals in mind:

• Compatibility between CAREGivers and clients
• Efficient utilization of the office’s collective CAREGiving resources
• Nurturing the relationships with our CAREGivers maintaining or increasing the hours of service provided

• Reflect the values of HD Industries, LLC d.b.a. Home Instead®
• Answer incoming calls in a friendly, professional and knowledgeable manner, during regular and on-call hours
• Use the CAREGiver pool efficiently to provide as many service hours as possible while limiting instances of CAREGiver overtime
• Monitor, mediate and log both client and CAREGiver activity and follow up on CAREGiver assignments and client service as needed
• Review each scheduled shift for billing and payroll rate accuracy prior to each pay period which is the 1st and 16th of each month
• Coordinate and maintain monthly client schedules in ClearCare, during regular and on-call hours
• Maintain a minimum of 30 days out on the Open Shift calendar at all times
• Maintain communication with clients about their schedules, new CAREGivers on shift, replacement CAREGivers, fill-in CAREGivers, etc.

• Ensure all On-Call notes are followed-up on so we do not have any unassigned shifts or duplicate assignments. Ensure that if there is a change in a schedule that everything has been followed thru with; i.e. shifts canceled, added and/or corrected
• Ensure communication to CAREGivers is accurate and complete before scheduling shifts
• Complete performance numbers weekly
• Gain mastery of the following technical systems/processes/resources: Outlook Calendars, Outlook Mail, ClearCare, Microsoft Word, Microsoft Excel, Panasonic Phone System, EFax, and more

 Qualifications:

• Previous Scheduling experience (1 year minimum) required
• Must have exceptional organizational skills, attention to detail, and the ability to prioritize in a constantly changing environment
