Job Description

The University of Nevada, Reno is recruiting for an Administrative Assistant 2 position for the Department of Residential Life, Housing, and Food Service (RLHFS). ***This position does not provide layoff rights and is contingent upon funding. This position is responsible for providing administrative support to residence hall staff (e.g. Resident Directors and Graduate Resident Directors) as well as other RLHFS staff. This position will provide training, evaluation, and general supervision of student employees working the front desks of the residence halls. The Administrative Assistant 2 will also oversee general administrative functions for their assigned area. Duties also include but are not limited to: resident/ key audits, charging student accounts, calendar scheduling, and assigned special projects.

Oversight of Student Staff
  • Recruit and hire student staff
  • Train student staff in desk operations. This includes
  • Grading training modules on WebCampus
  • Onboarding student staff on department resources (Webcampus, eRezLife, Symplicity, When to Work, Building Access, etc.)
  • Offboarding student staff from department resources
  • Scheduling student staff for work hours within assigned area
  • Provide evaluations to student staff
  • Apply corrective action procedures to student staff for infractions


Administrative Support Operations
  • Schedule conduct meetings for RDs and residents
  • Generate notification letters to residents
  • Ensure the correct flow of paperwork is maintained for the housing department (room condition report, key cards, etc)
  • Oversee correct process is followed related to check-in, check-out, room changes, and student billing when appropriate
  • Audit keys and key cards at least once per month
  • Prepare buildings for opening and closing
  • Maintain resident/ room records
  • Activate card access into the buildings/ rooms
  • Contact RLHFS maintenance team for repairs via service request or phone
  • Contact outside vendors by phone for repairs
  • Coordinate the ordering of office supplies
  • Provide assistance to main office staff in “peak” times (assignments, answering phones/ emails, etc)
  • Identify situations where other staff members, outside agencies, or contracted service providers should be notified (i.e. Resident Directors, Asst. Dir. Conduct and Safety, UNRPD, fire/ ems, buildings and grounds, etc)
  • Identify potential health and safety risks
  • Appropriately responds to emergency situations such as fire, sickness, injury, power failure, etc. Takes immediate action in serious situations that post a risk to the health and safety of individuals in or near facilities
  • Correctly operate fire warning and control systems such as smoke detectors, heat sensors, fire alarms, and sprinkler systems


Required Qualifications

This position requires graduation from high school or equivalent education and two (2) years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one (1) year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Compensation Grade

Grade 25 (Entry, Step 01 $16.43/hr. - Step 03 $17.80/hr.)

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
