Job Description

The Port Arthur Administrative Assistant provides administrative, clerical and safety support to the Port Arthur staff and personnel. The position will require some travel between sites but primarily based out of Port Arthur Motiva location.

Job Scope and Specifics:

  • Reports to the Plant Manager but can also be assigned tasks by staff members

  • Works under general supervision, utilizing diversified procedures and standards.  must have a reasonable understanding of plant operations

  • Provides the following key administrative and clerical support:

    • document generation and revisions including but not limited to procedures, letters, purchase orders

    • Generate and manage various production and inventory reports

    • generation of training material including PowerPoint presentations

    • preparation for and management of key meetings (e.g., staff meetings, safety meetings, Praxair management and customer visits)

    • Scanning and digitizing of documents (e.g., process safety info, technical basis, p&ids)

    • Management and administration of specific databases (e.g., moc, airwaves site, issue resolution db, shared drives, etc.)

    • assist in the management of invoices and payments.  help ensure that enclave stays current on these obligations

    • help with the delivery and receiving of materials as needed

    • key support in office management including obtaining supplies, delivery and receipt of materials and

    • contractor files, insurance certificates, sos, incidents

  • Provide the following support to the EH&S team and efforts:

    •  safety council appointments

    • safety projects, displays, signs, etc.

    • develop EHS training as requested

    • PO generation and payments to regulatory or governmental agencies

Job Requirements

Skills and Proficiencies Required:

  • Fluency in MS Office (Word, PowerPoint and basic Excel)

  • Working knowledge of Microsoft Outlook.

  • Ability to efficiently manage both hard and electronic documents

  • Strong time and meeting management skills

Soft Skills/Competencies:

  • Highly motivated, reliable and flexible

  • Punctual to meetings and other accountabilities

  • Strong Team Player

  • Strong organizational and communication (written and verbal) skills
