Part-Time Training Administrative Assistant

AMHFCU, a $2.4+ billion credit union, has an immediate opening for a Part-Time Administrative Assistant in our Training department. This position performs diverse clerical duties and provides administrative support to the Training Department.

Responsibilities Include:

  • Perform diverse clerical duties and provide administrative support for the Training team such as preparing handout materials for classes, recording class sign in sheets, taking meeting minutes, scheduling appointments, preparing letters, memos, reports, submitting invoices, preparing and submitting corporate expense statements, answering phones, and ordering supplies for the department, etc.

  • Maintain employee-related documents for HR/Training departments and ensure that all information is filed in the appropriate location in a timely fashion.
  • Review, sort, and disperse incoming mail and faxes to the appropriate HR/Training personnel.
  • Provide high quality service by answering employee questions and requests via the Helpdesk-ticket system and replying to emails.
  • Assist with the processing of on-boarding and off-boarding of staff including but not limited to: Creating and updating user profiles in various systems that are maintained by the Training Department, (i.e.-Symitar, Cuna CPDonline, First Line of Defense, True Checks, and the Internal Service Survey).
  • Assist with the maintenance of the University Program curriculum and employee transcripts. This includes preparing monthly congratulatory letters for employees who have completed CUNA certificates.
  • Prepare various training reports, including monthly training results, annual compliance, and overdue completion of required courses.
  • Assist in scheduling on-the-job and back office observation training.
  • Initiate and distribute class evaluation surveys after each session.
  • Perform activities on employee accounts including the initial account opening, ongoing maintenance, designated transactions and applying appropriate restrictions.
  • Post employee newsletter and training schedule to news boards in the Administrative Building and Carriage House.
  • Assist with the preparation for the annual University Graduation.
  • Ensure that the Training office, Gettysburg and Yorktown training rooms are clean and organized and welcoming to visitors.
  • Update and maintain the Training Department Manual documentation.

Requirements Include:

  • One month to twelve months of similar or related experience.
  • At least one year of experience in Human Resources, Training or an administrative position is required.
  • Professional well developed interpersonal skills essential for interacting with employees, applicants, and vendors while projecting a positive image as a representative for the HR/Training Department and the Credit Union.
  • Work requires intermediate to advanced working knowledge of PC applications (MS Word, Excel, Outlook, PowerPoint, Nuance).
  • Possess excellent office skills and the ability to handle a wide variety of duties.
  • The ability to work with confidential and sensitive information.
